How to schedule recurring tasks like fertilizer applications alongside regular visits

Keeping your recurring visits well-organized is vital for smooth operations. When you need to add an extra service—such as fertilizing or hedge trimming—on top of your regular visits, follow the guidelines below:

Set up a second recurring visit

  1. Identify your main service frequency. For instance, you might already have a weekly mowing visit.

  2. Create an additional recurring visit for your extra service—like fertilizing—so it repeats on a compatible schedule.

    • Example: If your mowing is every week, set fertilizer applications for every 4 weeks (which is also based on a weekly interval).

Use compatible frequencies

  • Ensure your extra service’s frequency is a multiple of your main service’s frequency.

    • Good approach: A 2-weekly mowing visit and an 8-weekly hedge trim. Because 8 is a multiple of 2, both visits can align every 8 weeks.

    • Avoid mixing different frequency bases (e.g., one weekly and the other monthly), as this may cause scheduling misalignment.

Keep them aligned

  • Whenever you reschedule or move a visit, move the second recurring visit accordingly. This keeps both services on the same day when needed.

  • Apply Route Optimization in SortScape to ensure the two tasks are placed next to each other in your schedule.

Examples of tasks you can set up this way

  • Fertilizing: Weekly mow + 4-weekly fertilizer application

  • Hedge trimming: 2-weekly mow + 8-weekly hedge trim (around every 2½ months)

  • Pre-emergent: Weekly mow + 21-weekly pre-emergent application
