Archiving Contacts

Archiving contacts helps you keep your contact list organized by hiding contacts you no longer actively work with. When you archive a contact, it moves to the "Archived" status and is hidden from your main contact list, but you can still access it and un-archive it later if needed.

Archiving a Single Contact

To archive an individual contact:

  1. Go to the Contacts page

  2. Find the contact you want to archive in the list

  3. Click the three-dot menu (β‹―) on the right side of the contact row

  4. Select "Archive" from the dropdown menu

  5. Confirm the action in the pop-up dialog

What happens when you archive a contact:

  • The contact is marked as archived

  • All properties belonging to that contact are also archived

  • All upcoming or incomplete jobs for those properties are automatically deleted

  • All open issues for those properties are automatically deleted

  • Any repeating jobs are set to end effective today

Note: This action cannot be undone, but you can un-archive the contact later (though the deleted jobs and issues will not be restored).

Bulk Archiving Multiple Contacts

You can archive multiple contacts at once to save time:

  1. Go to the Contacts page

  2. Check the boxes next to the contacts you want to archive (you'll see checkboxes appear in the first column)

  3. Click the "Bulk Archive" button at the top of the page

  4. Review the confirmation dialog, which will show:

    • How many contacts can be archived

    • Which contacts cannot be archived and why (they have properties with upcoming jobs or open issues)

  5. Click "Archive" to confirm, or "Cancel" to go back

Important differences with bulk archiving:

  • Contacts with properties that have upcoming jobs or open issues cannot be bulk archived

  • If you need to archive these contacts, you must archive them individually (which will automatically delete the upcoming jobs and open issues)

  • The archiving process runs in the background, so you can continue working while it completes

  • You'll see a progress indicator showing how many contacts have been archived

Viewing Archived Contacts

To see your archived contacts:

  1. Go to the Contacts page

  2. Use the status dropdown at the top (next to the search box)

  3. Select "Archived" from the dropdown

You can also select "All" to see both active and archived contacts together. The status column will show "ACTIVE" or "ARCHIVED" for each contact.

Un-archiving a Contact

If you need to restore an archived contact:

  1. Go to the Contacts page and filter to show "Archived" contacts

  2. Find the contact you want to restore

  3. Click the three-dot menu (β‹―) on the right side of the contact row

  4. Select "Un-archive" from the dropdown menu

When you un-archive a contact, all of its properties are also automatically un-archived. However, any jobs or issues that were deleted during archiving will not be restored.

Tips

  • Use the search box to quickly find specific contacts before archiving

  • Check the status counts at the top of the page to see how many active and archived contacts you have

  • If a contact has upcoming jobs or open issues that you want to keep, resolve or complete those items before archiving

  • Archived contacts are hidden from most views but can still be found when searching or viewing archived items
