How to use built-in contracts in Stora

Here's everything you need to know about using contracts in Stora

This guide explains how to use Stora’s built-in contract feature to manage customer agreements easily and securely.


How to get your contract in place

  1. Prepare your contract as a single, fully formatted file.

  2. Ensure it includes space for dynamic customer and site information.

  3. Send your contract to your onboarding representative or Stora Support.

The following fields can be automatically pre-filled in your contract:

Customer details:

  • Full name

  • Address

  • Mobile number

  • Email address

Site details:

  • Site name

  • Site address

Subscription details:

  • Unit Type – Unit types added to the subscription

  • Unit ID/Number – Units reserved or allocated when the contract is created

  • Move In Date – Subscription start date

  • Price – Total subscription price (includes insurance)

  • Storage Price - total cost of unit types excluding insurance

  • Billing Period – Billing period (e.g. monthly)

  • Insurance Cover Level – Insurance/protection cover level

  • Insurance Price – Insurance cost per billing period

We can also add fields for:

  • Customer signature

  • Signature date

  • Custom fields for additional notes

How to check contract status

Once contracts are issued, tracking which ones are pending or signed is easy.

  1. Head over to your Contract section (Subscriptions > Contracts)

  2. From here, you will see all of your issued contracts. You can use the Status button to filter to show only the following:

    1. Pending

    2. Signed

    3. Voided

    4. Declined

    5. All

💡 You will receive an email each time a customer signs their contract. The email includes the customer’s name, key details, a direct link to the contract, and the contract PDF and certificate.

How to void a contract

Sometimes, you may need to void and resend a contract to be re-signed. To do this, follow the steps below:

  1. Head over to your Contract section, next to the customer's name, use the ... button

  2. Select Void contract.

💡 You can only void pending contracts. Signed contracts cannot be voided.

How to reissue a contract

  1. Go to Subscriptions and search for the customer

  2. Click the ... button and select Issue contract


How can I update my contract in Stora?

  1. Prepare your updated contract: Ensure that the revised version of your contract is completed and ready for uploading.

  2. Contact Stora Support: Send your updated contract to Stora’s support team.

  3. Wait for Confirmation: The Stora support team will process and upload your updated contract.

FAQ

What happens if no unit is reserved or allocated at contract creation?
The Unit ID/Number field will display TBC.

Will a unit added later show in the contract?
No, contracts only include data available at the time of creation.

Will auto-reserved units show in the contract?
Usually, yes. Contracts are created after the customer sets their password. Auto-reservation runs every minute, so in most cases, the unit will be reserved in time to be included. This works reliably in most Storefront scenarios.

Can I update a contract with unit info later?
Yes, void the contract and reissue it. The new contract will use updated subscription data.

How do I manage contracts that were sent before the new system was introduced?
Contracts sent before this system was added won’t update automatically. You’ll need to mark them as signed manually.
