How to setup approvals to control which actions require approval

Approvals

Approvals allow you to choose what actions in Street require approval from an authorised approver. Currently this includes adding credit notes (on sales invoices) and editing instruction fees however more actions will be added over time.

Approvals Settings

To get started, head to Settings > Company Settings > Approvals.

Note - To access the Approval settings you will need to be a Company admin and have a role with either the permission 'Allow this user to enable or disable approval flows' or 'Allow this user to add or remove approvers from branches' enabled, depending on what changes you are looking to make.

From here, you can click into one of the approval flows to begin the setup process.

The first step is to configure the settings by assigning approvers. Approvers are users that you want to review request and decide whether to reject or approve.

If you are a multi branch network you can do this in bulk by selecting multiple branches using the checkboxes on the left hand side and clicking bulk assign. Alternatively, you can assign approvers individually, one branch at a time using the 'assign approvers' button.


From here, select all users that should be able to approve that action.

Note - To add or remove approvers, you will need a role with the permission 'Allow this user to add or remove approvers from branches' enabled.

With all branches configured you can then click 'enable approvals' to activate that approval flow.

Once enabled, you can easily disable the flow by clicking the 'disable approvals' button if needed.

Note - To enable or disable an approval flow, you will need a role with the permission 'Allow this user to enable or disable approval flows' enabled.

Submitting an Approval

When a user tries to perform an action that has an approval flow enabled, they will instead see a 'submit for approval' button, with a mandatory approval note section.

Approving / Rejecting a Request

When an approval request is submitted, all approvers will receive an email outlining the approval request details. Approvers can also see any outstanding approval requests from their Task Management section in Street.

Clicking into a request will open a side panel with further details where the approver can choose to reject or approve and apply the change.

Notes and comments can also be left on the approval card, including the ability to @ tag people.

Whether a request is rejected or approved, the user that requested it will receive an email notifying them that it has been rejected/approved, with a note included if it was rejected. If approved, the request changes will update in Street.
