What is a Lead Tenant?
Where a tenancy or lettings application has more than one tenant, you can mark one tenant as the Lead Tenant - a single, clearly flagged primary point of contact for that tenancy. This works for people and companies, including mixed lists of the two.
The Lead Tenant designation is optional to change. By default, the tenancy's primary contact is automatically set as the Lead Tenant, though this doesn't change how the tenancy behaves - it's simply an extra indicator you can adjust at any time.
How to set a Lead Tenant
You can set the lead tenant from anywhere tenants are listed, using the star icon next to their name:
On the "Confirm Tenancy Details" step of a lettings application move-in
On the edit-term window on when viewing a a tenancy term.
On the tenancy details page.
Click the star next to a tenant's name to make them the lead. Only one tenant can be lead at a time - selecting a new lead automatically un-marks the previous one.
Note - The primary contact is set as the Lead Tenant by default. Changing it doesn't affect the tenancy in any way.
Where the Lead Tenant shows
Once set, the lead is marked wherever tenants appear:
A "Lead" badge on the tenancy details and notice contact cards.
The star icon, filled in, in tenant lists.
The property page tenancy bar.
The lettings offer page.
The confirm tenancy view.
Lead Tenant through the tenancy lifecycle
The lead designation isn't a one-off flag - it's tracked through the life of the tenancy:
If a lead tenant is set at lettings application stage, it carries automatically onto the tenancy once created.
The designation survives tenancy renewals, periodic term generation, and conversion under the Renters' Rights Act.
Every change of lead tenant is logged to the tenancy's activity feed, showing who made the change and who the new lead is.
Lead Tenant merge fields
If you use document templates for tenancy or lettings application documents, three new merge fields are available:
Lead tenant first name
Lead tenant last name
Lead tenant full name
This means a tenancy agreement or other document can pull in just the lead tenant's details automatically, rather than needing every tenant merged in and the wrong ones manually deleted before sending.
