How to create a tenancy

Tenancies within Street

Within Street there are two ways of creating a tenancy - via a lettings application or directly from the property.

Creating a tenancy from an Lettings Application

Typically most tenancies will be, and should be, created through the correct workflow of creating a lettings offer > accepting a lettings offer > progressing through a lettings application > creating a tenancy.

This ensures all of the relevant details are captured during the application stage (referencing, inventory, move in etc) and shows a clear timeline of events.

Creating a tenancy from the Property page

The second method is to create a tenancy directly the property page:

Doing so bypasses the application stage entirely and should therefore not be used if you are processing the offer and application of the applicants.

Important - If you have an ongoing Lettings Application, you should not create the tenancy for that application from the property page as this will result in overlapping application/tenancy. You should proceed with the lettings application and create the tenancy from there.

This option should only be used in a few specific situations such as:

Migration to Street (manual or via Bridge):

When migrating over to Street from your previous CRM provider and adding in existing tenancies. In these cases, you would not need to go through the offer > application > tenancy workflow and can just create each tenancy directly.

When adding a Tenancy you have just taken over management of:

When you take over an existing tenancy, it would generally make more sense to create the tenancy directly rather than processing an offer and application you didn't manage.

Adding a Tenancy you do not manage:

If you are selling a property but the existing tenancy is being managed by another agency, you can also just add the tenancy directly.

When adding a tenancy you don't manage, ensure you toggle the 'This tenancy is managed by another agent' checkbox. This will remove the requirements for the usual details such as rent amount and service level, allowing you to store the tenants details against that property:

Note - You will need to add the tenants as 'people' within your network to be able to add them to the tenancy. We advise trying to confirm their email and phone number so these can be added for the purpose of contact regarding viewings.

Viewing Tenancies

Now that your tenancy has been created, you will see a 'Current Tenancy' card on the property page:

You can also see a list of all tenancies on a property by clicking Info > View All Tenancies:

Updating the status of the property

If you have created a tenancy directly, you may notice the status of the property shows as To Let / Let Agreed still while also having an active tenancy. This is because the application process wasn't followed so the system doesn't pick up the change in status.

To fix this, head to the property page and click Edit > Withdraw/Archive Lettings Listing. This will remove the no longer needed listing and should update the status to Let:

Note - If the property status is showing differently (such as instructed or withdrawn), is still incorrect or you do not have a listing to withdraw, please speak Street Support via live chat for further help.

Updating the occupancy status of the property

Similarly, you should check to confirm the occupancy has been set to tenants and not owner or vacant. To do this, head to the property page and check the Occupancy field here:

If this field shows 'Tenants' then you have nothing to action. However if this shows owner or vacant, it is advisable to edit this by clicking Edit > Edit Property and scrolling down to the Occupancy setting:

Here, update the occupancy to Tenants, scroll down to the bottom and click 'Update Property'.
