How to progress a lettings application through to a tenancy

Lettings Application Overview

Before you can begin proceeding with a lettings application, you must accept the offer first. For help on this, see our Accepting a Lettings Offer help article here.

Once an offer has been accepted, a Lettings Application will automatically be created from that offer and will appear on screen. However, this application will also be visible on the property page in a new 'Ongoing Lettings Application' card:

The Lettings Application stage works like a granular checklist, with several 'tiles' where you can mark off the key tasks as well as ensure information such as tenancy details, guarantor and deposit are correct. We recommend working through this checklist to ensure all milestones are checked off before the tenant moves in.

Marking the property as Let Agreed

If you need to update the property status (both on Street and the portals), click Actions > Mark as Let Agreed. You can also cancel the application here, for example if the applicant withdraws their offer.

Note - If a Lettings Application is cancelled, it is not possible to reinstate it and continue. You would instead need to create a new lettings offer and accept that offer, starting a new lettings application.

Once the property is marked as Let Agreed, you can go back to Actions and mark the property as Let. Typically you would only do this at the end of the application stage, when each of the tiles have been checked off.

Once Let Agreed, you can also create the tenancy directly from the actions dropdown, allowing you to bypass the application stage. However this would typically only be used in certain circumstances. For example, when you have managed the application process outside of Street for any reason (maybe a commercial let).

If you are having issue creating the tenancy from a partially or empty lettings application, this will be because the Tenancy agreement section isn't completed. This will need to be completed as it contains the info needed to create the tenancy.

Tiles

Each 'tile' can be clicked into to open a pop-up, allowing you to enter the relevant details as well as a 'Notes' section where you can add any internal notes for your team.

Most tiles also have an option 'Skip' checkbox at the top right, should this information not be needed. Once a tile has been completed, you will see a 'green tick and Complete' banner appear.

Holding Deposit

Here you can add the amount requested as well as the date received. You can also choose to mark the property as Let Agreed (if you haven't already done so).

If you're using Accounting in Street, this would also be the place in which you can receipt the holding deposit in. This is done in triggering the actions on this tile. For more information on this see this help article.

Deposit

This tile lets you add the relevant details regarding the deposit, including the amount and date paid, the scheme and certificate code and finally uploading the certificate file.

If adding the deposit details here, they will automatically show in the tenancy agreement tile details.

Note - If you manage your lettings accounting in Street, this tile is redundant and part of the legacy workflow. The deposit details entered in the Tenancy Agreement tile will be used to generate the deposit details and the deposit charge on the tenancy.

Referencing

This tile gives you the option to mark the referencing form as sent to the applicants as well as add an outcome, either passed, passed with guarantor or failed. Regardless of the outcome, you can also add additional supporting documentation here.

Clicking the 'failed' button allows you to either mark the application as unsuccessful or proceed with the application.

Note - Marking an application as unsuccessful will not send any automated notifications to the applicants or owners.

If the reference involves a guarantor, click 'Passed with Guarantor' and you can add the guarantors details.

Important - The guarantor must exist as a person in your network. You cannot simply add their name and proceed.

If the person (guarantor) does not already exist in your network, click 'create person' to add them, entering their name, address, email and phone number as usual.

Once that person is created, they will then be added as the guarantor. If needed, you can click the bin icon to remove them and you can add additional guarantors by searching for a person again, and creating them as well if needed.

Right to Rent

This tile allows you to enter the right to rent check details for each applicant on the application.

Safety Certificates

This tile lets you see if the property has valid certificates for EPC, Gas Safety and EICR. If not, you can click the 'Upload' button to upload directly into the certificates section of the property.

If your property does not require a gas safety certificate, you can remove the requirement, you can view how to do this in this help article.

Inventory

Here you can book a date and time for the inventory, as well as who will be attending the appointment. This will then show in your calendar as an inventory event. You can then mark the the inventory as sent and upload the relevant document.

Tenancy Agreement

Here you can add the tenancy details and handle the signing of the tenancy agreement.

Confirm Tenancy Details

Here you can add the key details of the tenancy, including start and end dates, rental payment dates, deposit amount and scheme, inspection due date, management fee etc.

If you are having issues confirming the tenancy details page, the first thing to check would be that the management fee is set correctly (where you put in the number, make sure the box next to it is filled in, either fixed fee or %).

Note - You will only have access to create a recurring rent charge if you have access to accounting within Street. This is currently in Beta testing and not widely available.

Note 2 - If you do have access to accounting within Street, the option to add the deposit information here will not be visible as the deposit details are added at a later stage.

Tenancy Agreement Document

If you use Street for your document generation, you can click Generate Agreement to create the document directly from here, based on your document templates. Additionally, if you use our Eversign integration, you can also choose to generate an e-signature document that can be signed digitally by the recipients.

If needed, you can just click 'Mark as Sent', for example if you process the agreement externally to Street.

If you generated an e-signature document, you can view the status of the signatures here and resend the document if needed:

If you used the 'Mark as Sent' option, you can simply upload your document and mark the form as received:

Move In

In most cases, the Move In tile will be your final action on the application, where you can book a date and time for the key collection. This will then show in your calendar as a move in event. You can then mark the keys as given to the tenant and add any details of the handover.

Creating the tenancy and completing the application

When you are ready and all actions have been completed, you can click the 'Create Tenancy' button from the banner at the top of the application page and you will see the Tenancy page appear.

Once the tenancy has been created and you are ready to mark the property as Let, you should head back to the application and click actions > mark as let.

When you are finished with the application, click actions > complete application.

You will then see a popup to choose whether to archive the lettings listing and whether to update the tenant's correspondence address to the property address:

Archiving the listing will remove the listing that links to this application and tenancy and should be checked in most situations as this ensures when you re-market the property, you can create a new listing. This will also ensure the status on Street correctly shows as Let.

Should you choose not to archive the listing immediately, you can always do this at a later date from the property page and click Edit > Archive Lettings Listing:

Updating the tenant's correspondence address will change the address on their person page to that property's address and is typically useful to ensure your data remains accurate.
