The workflow to follow once you are beginning a move out process for a tenant.

Tenancy Move Out Table

Clicking on the Move Out tab on the left side panel will load a table showing a list of all of your valuations, with various subcategories based on their status.

Here, you will be able to see a full list of tenancies which are in the Move Out phase as well as a visual of what is outstanding on the file before it can be completed.

Creating a Move Out from a Tenancy

There are two methods of creating a move out. The first is by ending a tenancy from an active tenancy page by clicking the 'manage' button at the top right > end.

You will be prompted to add a tenancy end date, reason for ending the tenancy as well as a tick box to create a 'Move Out' journey within Street. Ensure you have the 'create move out process' box ticked to create a move out process for that tenancy.

Note - The 'create move out process' is checked by default but if it's unchecked, the Tenancy will end on the date chosen and it will not be possible to undo and create a move out process retroactively.

Creating a Move Out from a Renewal

The second method is from the renewal process, when either the owner or tenant are marked as wanting to end the tenancy. In this case, the final step will be to confirm and progress to a move out.

Move Out Workflow

Once a move out has been created you will see the move out page, which is a very similar workflow and screen to the Lettings Application page. There is a tiled process/internal checklist to work through, and this will light up green once the tasks within it have been completed.

Within the move out process you have options of adding the tenant's forwarding address, adding a check out report, adding utilities meter readings, arranging the return of keys and adding the deposit refund information.

Note - The deposit refund section of a move out process is purely information and is not connected to the accounting deposit workflow. If you manage your accounting within Street, you should continue via the usual deposit refund process to actually handle the transaction of money.

The only mandatory sections to complete are the 'notice received' and 'confirm move out date' sections in the 'move out confirmed' tile. All other sections can be ignored or skipped if they are not necessary. However using the Check Out Report tile allows you to book a checkout date and time, as well as who will be attending. This will then show in your calendar as a check out report event.

Tenancy Move Out Date

If the move out was created via the 'end tenancy' process, the 'move out date' field at the top the page will display as 'to be confirmed' until a move our date has been confirmed from within the 'move out confirmed' tile.

If the move out was created via the 'renewal' process, the move out field will show the 'tenant vacate date' that was entered on the renewal process.

To update the Move Out Date after this point, you will need to head to the 'move out confirmed' tile and enter the 'tenant vacate date'.

Note - The 'notice received' section of the journey will need completing to have access to the 'confirm move out date' section. The second stage is blocked until the notice is marked a 'Received'.

The contract end date and reason for ending tenancy entered will also show on the tenancy page, in a banner highlighting that the date and reason. You can jump to the Move Out workflow from here too.

If the move out changes for whatever reason, you can go back to the move out, undo the previous steps and change the move out date. The tenancy page dynamically updates based on this new data.

Completing a Move Out

When you have finished with a move out, you can complete it by clicking actions (top right) > complete move out.

Note - The option to complete a move out will only be present if the 'confirm move out date' section of the 'move out confirmed' tile has been completed. If you have not completed this section, you will not see an option to complete the move out.

Cancelling a Move Out

You can cancel a move out at any stage by heading to actions > cancel move out.
