Options to renew a tenancy within Street.

Renewing a Tenancy

When a tenancy term is coming to an end, there are multiple workflows you can follow to action a renewal and note the outcome.

From the Tenancies tab, you can see a list of all tenancies and sort by the Tenancy End Date column to keep a track of which tenancies are ending soon:

Additionally to that, we have a header within this screen called 'Expiring Tenancies' which gives you the option to filter at multiple levels of due date ranging from Expiring in 90-60 Days to already expired tenancies that you may want to contact as priority.

This particular screen is also presented on the Tasks page within a tile of its own as a quick view.

Another filter option here is to filter by 'Status' which is useful if you are part way through the process with a tenancy renewal.

Ending a Tenancy

In some cases, you will be expecting to renew but after discussing this with both parties, you will need to end the tenancy. You will see here the tenancy has a 'Expiring' pill against it to show it is in this stage of the tenancy where action needs to be taken. To end a tenancy, head into the tenancy screen, click Manage > End. You will then be able to follow this help article to begin the move out process.

Renewing a Tenancy with Automation

You have the option to allow Street to automate creating a renewal in your system for tenancies expiring within 90 days.

At 1am every night, the system gets all the Tenancies that have the following criteria:

  • is active: has any active Tenancy Terms

  • is expiring: has an end_date within 90 days.

  • doesn't have any active tenancy terms with an active renewal already.

  • doesn't have any upcoming tenancy terms, this goes for the property as a whole, not just this tenancy.

  • has not ended (either through move out or manually)

Then for each of those 'Expiring Tenancies', it finally checks these before creating a new Renewal:

  • Is the Tenancy Renewals feature enabled for the network?

Note - This is likely toggled on in your backend Network if you use Lettings Management in Street, as this will have been set up during your Street Onboarding. Feel free to check with the live chat team to confirm.

  • Is the Active Tenancy Term lettings managed?

If an expiring Tenancy Terms passes all these checks, it will create a new Renewal for it.

Note - A renewal is not created if there is an upcoming tenancy.

You will see on the tenancy page, the renewal tile is present with a countdown on the Tenancy End Date, and the Tenancy Renewal screen can be accessed from here.

It is also clear on the status that this tenancy is within the 90 day window and is expiring.

Renewing a Tenancy Manually

Note - When a tenancy is due to end is within 90 days, a Renewal is generated automatically by Street, which then means the property shows up in 'Expiring Tenancies'. A renewal is not created if there is an upcoming tenancy.

If you want to renew a tenancy outside of the usual workflow, you can choose to begin the renewal and follow this workflow. This is trigger by clicking Manage > Renew. The status of the tenancy will be 'Active' for this to be present.

You will see a pop up confirming if you would definitely like to renew the tenancy and in confirming this, the tenancy renewal screen will populate.

From here, the same workflow applies - head to Tenancies in the side panel, and switch to 'Expiring Tenancies' view.

You will see a list of all tenancies in renewal, the status and a breakdown of who has been contacted and what the outcome of the communication was between the owner and tenant. Clicking into this, you can see a breakdown of the renewal, with the tenancy term details as well as notes of communication to be recorded directly onto the expiring tenancy.

You firstly have to action you have contacted either party, the box then populates to present the outcome of that communication with the ability to 'Add Notes' to the Owner or Tenant individually. You can choose from 'Wants to renew', 'Wants to allow the Tenancy to become periodic' or 'Wants to end tenancy'.

Once the response from either party has been determined, you will record the 'Outcome'. Once this is selected, it will present the second stage of the workflow.
