A Guide to enable you to plan for using Document Templates in Street

Document Templates Introduction

Street allows you to create custom document templates with the ability to add merge fields that seamlessly pull the relevant information from your Street account. This saves the need to manually edit a document each time you create one for a client. By using this feature, you not only save time but also ensure that your company's image remains consistent across all interactions.

If you have chosen to have the E-Signatory integration setup, the Street document builder is also a fantastic way to easily embed E-sign functionality into your Street Account. This will enable you to build the templates that will become your E-signed documents, allowing you to obtain signatures from clients directly through the Street platform, streamlining the process and enhancing security. It's worth noting that the Street document builder works differently to some of the external document and E-signatory document creators you may have previously used. We recommend you read this entire article to get an understanding of how the functionality has been built, as this will give you context as to how to go about designing your Street document templates. It may require some re-configuration to the formatting or flow of the existing documents you use, in order to gain the most from the functionality Street has to offer.

Types of pages

We expect your finished document templates to be made up of a combination of two different page types: fixed and dynamic.

Fixed content pages

Fixed content pages can be uploaded to the cover and/or back of the document template either during the initial creation step or via the settings when editing a template.

These cover and back pages will be populated by uploading a pre-designed PDF file of your choice. This gives you complete customisation and control over your branding, design and tone, so you can incorporate complex designs, though is a fixed PDF file, so it cannot contain content that needs to be editable in Street.

You can upload as many cover and rear pages as you wish, as long as they are uploaded as one single PDF file.

Dynamic content pages

Dynamic pages are normally written content containing the use of merge fields. These will be dynamically populated at the point of generating the document so that it is personalised with information relevant to the individual client.

Although making the process of generating a document for a customer to sign very efficient (and your workload much lighter), this second page type will have less customisation and flexibility over formatting and layout. We recommend therefore that you try and configure your document template in a way that editable and non-editable content are separated out to ensure you can maintain your own custom designs for as much of the document as possible.

Top Tip: If you have long / heavily formatted terms and conditions with varying fonts, columns or spacing, it is often better to place any content that does need to be edited elsewhere in the document, and upload your standardised terms and conditions as Fixed content pages.

Configuration Options

It's important to note that fixed page types and dynamic page types cannot be interspersed between each other.

The expectation is that most agents will create any dynamic page types you need within Street itself and those pages will then form the middle of the document. Your cover pages will sit at the beginning and your rear pages will sit at the end.

This means the following configuration options are available:

  • Fixed content for an entire document

  • Dynamic content for an entire document

  • Fixed content proceeded by dynamic content

  • Dynamic content proceeded by fixed content

  • Fixed content, dynamic content, then fixed content

What you don't have the functionality to do is create a document that starts with fixed content, is proceeded by dynamic content, which is proceeded by fixed content, which is proceeded by more dynamic content and so on.

Document templates can be created for the following areas within Street: Valuation, Property, Viewing, Sales Offer, Sale, Lettings Application, Tenancy, Enquiry.
