About the Instant Liens beta
The Liens Ledger is joining the Instant Ledger as part of the beta. Users will see a new tab on the original ledger and be able to start managing their lien data by adding those files to the case, and then adding those to the liens ledger.
Important Note: While in beta, usage of the Instant Liens or Ledger is optional and will not impact your existing case ledger and case economics in any way.
Using the ledger is optional, it will live alongside your existing bill ledger and case economics functionality, but not interfere with either. Feel free to play around and generate bills and modify the data without worrying about impacting existing workflows or in process deliverables.
Simply navigate to the new tab, where you will be introduced to the feature and functionality.
Adding Liens to the Instant Ledger
A separate liens ledger will not sit alongside the bills ledger in its own tab. Navigating there will show a welcome prompt with the ability to start adding files to the liens ledger.
Users can add liens in 1 of 2 ways to the ledger, depending on the circumstance and preference:
Manually
Good for when you are anticipating liens to come in for any particular bills, and want to start tracking but do not have the official lilen request document
Via file extraction
Good for when you have the necessary documentation, and want the ledger to extract the data and populate details such as line items, amounts billed and paid, and the lien type.
To add a lien manually, follow these steps:
Click Add Liens and choose the manual option
Choose whether you are adding a new lien, or adding some lien line items to an existing lien
Fill out the data in the form, choose a source document if desired, and save the lien
Add lien line items if desired.
To add a lien via file extraction, follow these steps:
Navigate to lien ledger, click the Add Liens button which will take you to a file selector
Chose the lien file you would like to extract. You can use the Lien filter to get to a tighter list of the files we think are liens for assistance
You can always use the preview option to check the file as you’re making your selections.
It is always possible to return to add more files later, and the selection page will show you which files have already been added to avoid duplicates
Extraction typically takes under 10 minutes, but this can vary according to the number of files, size of the files, number of pages of bills, and other system constraints.
Lien extraction progress is displayed alongside bill extraction in the file footer. If a file fails to be added, you can clear it and try again, or add the bill items manually.
While extraction is in progress, you can leave the case and tab without disrupting extraction on liens.
Lien Ledger Management
Instant Liens provides several tools to manage the data on your lien ledger. You have direct control on all information which is displayed, and can update data as you see fit at any time during the case.
Lien Types
We understand that depending on the type of lien, you may have a different strategy for how to approach resolution and making sure that you have the most up to date information. Our Lien extraction will attempt to categorize your liens into 1 of 5 types to help organize and prioritize your work:
Government
Private Health Insurance
Facility or Provider
Auto
Users can change these at any time, and they can be used to help understand at a glance what kind of subrogation rights, negotiability, or proactive outreach you may need to perform.
Adding Negotiated Amounts
Each lien has a specialized field for any negotiated amounts, so that you can track the original lien amount against what has been negotiated on behalf of your client.
Automatic Deduplication
The lien ledger will deduplicate lien entries according to similar criteria as the Instant Ledger, ensuring that your client is never charged twice for the same payment and making progressive lien versions more manageable.
Users can toggle visibility of duplicates on or off at any time, or merge or unmerge lien items when an error or inaccuracy is present.
Unrelated Analysis and Marking Items as Unrelated
Sometimes not all the lien items referenced by a lien holder are relevant to the case and should be taken out of the settlement. Every instance of this is money left on the table for the client and should be avoided.
We’ve expanded our unrelated line item analysis to also be applicable to liens, with support for either CPT codes or ICD codes depending on which is present on the lien line item.
Simply run the analysis and the system to flag potentially unrelated line items and put the user in a review flow to make a determination on eligibility.
Lien items can always be moved manually as unrelated or related as well, allowing for quick review by your internal teams on and ensuring that the settlement is as accurate as possible.

Export
You also have the option to export the ledger as a csv, so you can continue to work with the data in a spreadsheet of your choice
Export applies whatever the current view is of your filtered lien items so your carefully refined sheet is preserved in export
Data Sorting
All data columns are sortable, and we have included some filters at the top of the table to make it easy to get to the line items you are looking for
Source file filter
In order to understand which files are included, you can use the Source filter to see where the lien data is coming from.
Lien and Lien Item Editing
All data on the ledger can be edited directly by clicking the edit button and opening up each respective lien or line item
Deleting Liens and Line Items
You can remove the data from the lien ledger at any time, and simply re-add it if you make a mistake.
