To manage dependents in HRA Hub, you must first update your insurance coverage with your carrier, then update your dependent information in HRA Hub and upload updated proof of coverage.
Managing and Updating Dependent Information in Take Command
Adding or updating dependent information in the Take Command system involves several steps to ensure your insurance plan and allowances are accurate. Below, we provide detailed guidance for various scenarios, including adding new dependents, notifying your insurance carrier, removing dependents through Qualifying Life Event (QLE) processes, and troubleshooting technical issues.
Dependents such as biological children, adopted children, and stepchildren are generally eligible to remain on a parent's health or dental insurance plan until the age of 26. Their marital status, residence, employment, or student status typically does not affect their eligibility.
Adding a Dependent to Your Insurance Plan
Log in to the Take Command Portal
Log into your Take Command account and click "Have a Qualifying Life Event"
Enter your QLE date:
This is required for the system to process your changes. i.e. for loss of coverage this would be the first date you don't have active coverage (actual date the event occurred).
Select Your Qualifying Life Event (QLE) Reason
Choose the option that applies to your situation:
Birth - Add a newborn within 60 days; coverage is backdated to the date of birth.
Adoption or Foster Care Placement - Enroll within 60 days; coverage starts on the event date.
Marriage - Eligible to enroll in or make changes to a health plan within 60 days of getting married. To qualify, you must have had eligible coverage during the 60 days prior to your marriage.
Divorce or Legal Separation - Loss of coverage due to divorce or legal separation qualifies for a special enrollment period.
Upload Qualifying Life Event (QLE) Documentation
You must upload one document verifying your life event in order for your request to be processed. Click here: https://www.takecommandhealth.com/blog/qualifying-life-events for more information on required documents.
Add or Remove Dependent(s)
Review and update your information:
Confirm all personal details are accurate
Add or Remove dependents names under "Family Members".
Complete Plan Selection in HRA Hub
After submitting your QLE, you will be redirected to the shopping screen to select your plan with your dependent.
Easy Enroll & Extra - Step Enroll Plans - Select the same plan. This will include answering the carrier questions, providing a signature, and reviewing details before submitting/purchasing.
Self-Enroll Plans - Select the same plan. You should not upload Proof-Of-Coverage.
Examples of qualifying life events include marriage, birth or adoption of a child, or loss of employer-sponsored coverage. Be aware that for specific events such as childbirth, all updates must be completed within the set deadlines, like 6 days for coverage to start from the birth date.
Removing a Dependent via QLE or Enrollment Scenarios
When removing a dependent using the QLE (Qualifying Life Event) workflow, follow these detailed steps to efficiently update your plan and personal information. Additionally, during Open Enrollment, ensure that your dependents list is accurate while shopping for a new plan. Removing a dependent through Open Enrollment can prevent potential issues with locked changes until the next period. Review your dependents list carefully before finalizing your plan.
These qualifying life events (QLEs) include scenarios such as the birth or adoption of a child, a change in residence, or loss of other coverage. Ensure all documentation is prepared to support the reason for the QLE when updating your plan.
Log In: Access your account via the Take Command employee portal.
Start a QLE:
Click on “Have a Qualifying Life Event?” on your dashboard.
Enter the date of the event and choose the applicable reason (e.g., Loss/Gain of Other Coverage, Divorce).
Upload proof of the event if prompted (this can include employer coverage documentation or any other relevant document).
Remove the Dependent:
In the Family/Personal Information section, find the dependent’s details.
The QLE process will unlock the option to delete (look for a trash icon or “Remove” button).
Click to remove the dependent and confirm your changes.
Finalize Changes: Complete your new plan selection and verify that the removed dependent is not included in your premium calculations or coverage details.5.
After Plan Updates: Once your new proof of coverage is uploaded, dependents removed during the update process will no longer appear for reimbursement purposes. Ensure all changes are finalized in the system.
The Personal Info section is your primary resource for managing family details. Follow on-screen prompts carefully. You’ll need to update household and plan preferences to reflect changes to costs.
