ICHRA & QSEHRA Employee: Why Haven't I Received My Reimbursement?

This article is for employees participating in an Individual Coverage HRA (ICHRA) or Qualified Small Employer HRA (QSEHRA) administered through Take Command who are waiting to receive a reimbursement.

If you haven't received your reimbursement yet, your claim is usually still being reviewed, waiting for your employer's next reimbursement report, or waiting for your employer to issue payment.

Note: Under an ICHRA or QSEHRA, you pay your insurance premium directly to your carrier each month, then submit it as a reimbursement claim. Take Command reviews your claim and notifies your employer — your employer then issues payment to you. Payment comes from your employer, not from Take Command.

How do I check my reimbursement status?

To determine why your reimbursement has not been received:

  1. Sign in to your Take Command Member Portal.

  2. Open Reimbursements in the main Member Portal navigation menu.

  3. Locate your reimbursement request.

  4. Review the current status.

Common reimbursement statuses include:

  • Pending Review

  • Approved

  • Scheduled

  • Reimbursed

  • Denied

The status helps identify where your reimbursement is in the process.

If the Reimbursements section is not visible in your Member Portal navigation, contact Customer Experience — this may indicate a portal access issue unrelated to your claim.


Why is my reimbursement still pending?

If your claim shows Pending Review, it has not yet been approved.

Common reasons include:

  • Proof of coverage is still being reviewed.

  • Required documentation or receipts are missing.

  • Minimum Essential Coverage (MEC) has not yet been verified.

  • Your claim is still undergoing compliance review.

Your reimbursement cannot be processed until your claim is approved.

If your claim requires documentation, acceptable formats typically include an insurance premium invoice or statement, and proof of payment such as a bank or credit card statement. Check your portal for any specific documentation requests on your claim.

If your claim has been in Pending Review for an extended period and you have not received a documentation request, contact Customer Experience — there may be a coverage verification delay that requires manual review.


Why was my claim approved but I still haven't been paid?

After a claim is approved, it is included in a reimbursement report sent to your employer.

Your reimbursement may not appear on the current report if:

  • Your claim was approved after the monthly reporting cutoff.

  • The next reimbursement report has not yet been generated.

  • Your approval occurred close to the report generation date.

In these situations, your reimbursement is typically included in the next reporting cycle.

If the expected monthly report has not appeared in your portal and you believe the reporting cycle should have completed, contact Customer Experience. Report generation issues occasionally require manual investigation.


My reimbursement is scheduled. Why haven't I received it?

A Scheduled status usually means your approved reimbursement has been reported to your employer and is waiting to be paid.

Your employer determines:

  • When reimbursements are processed.

  • Whether payment is made through payroll, ACH, or check.

  • When funds are distributed.

Payment timing depends on your employer's payroll or reimbursement schedule.


My employer processed my reimbursement. Why haven't I received the money?

Even after payment has been issued, delivery may take additional time.

For example:

  • Direct deposits may require several business days.

  • Paper checks may require mailing time.

  • Payroll processing schedules may affect payment timing.

Your employer can confirm when payment was issued.


How long does reimbursement usually take?

The reimbursement process includes several steps:

  1. You submit a reimbursement request.

  2. Take Command reviews your documentation.

  3. Approved claims are included in your employer's reimbursement report.

  4. Your employer processes payment.

  5. You receive payment through your employer's payment method.

The total time depends on:

  • Documentation completeness

  • Review timing

What should I do if I think my reimbursement is missing?

No.

Take Command:

  • Reviews reimbursement requests.

  • Approves eligible claims.

  • Generates reimbursement reports for employers.

  • Displays reimbursement status in the Member Portal.

Your employer:

  • Funds the reimbursement.

  • Issues payment.

  • Determines when payment is made.

Employees receive reimbursement payments from their employer—not from Take Command.

Once your employer has issued your payment, they should update your claim status in the portal to Reimbursed. If your status remains Scheduled after you have confirmed with your employer that payment was issued, ask them to update the claim status in their Admin Portal.

If your claim was denied, you'll need to review the reason for the denial and submit any requested documentation or corrections before the claim can be reconsidered.
