Booking's don't always work out the way we planned, and it's important to track and record the exact reason. Whether it's that client who always cancels last minute, or your favourite contractor who is a bit under the weather - this is how you cancel a shift in Talisman's Booking Desk:
Once you have created a booking, you will be able to select the 3 dots and see the option "Cancel Booking".
In the pop-out that appears you will find Cancellation Reason with up to 6 options, and Cancellation Notes which is a free-text box that will allow you to capture more information.
Absence Auth (Holiday)
This option is selected when a Candidate is already in a booking, but cannot make it due to Holiday. When you select this option the Candidate will be marked as "Unavailable" for the day of the shift selected, and the Vacancy at that shift will re-open for your team to put someone in their place.
This will be logged, and you will be able to see this has now changed to the "Holiday" Icon in Filled Hours view, and in the By Day view in the candidate record. This is symbolised by the Blue Palm Tree icon.
Absence No-Auth (AWOL/ No-Show)
As much as we all hate to see it, we have all been there. This is for when your Candidate does not show for their shift, and doesn't give you good enough reason. When you select this option the Candidate will be marked as "Unavailable" for the day of the shift selected, and the Vacancy at that shift will re-open for your team to put someone in their place.
This will be logged, and you will be able to see this has now changed to the "No-Show" Icon in Filled Hours view, and in the By Day view in the candidate record. This is symbolised by the Calendar icon with a "-".
Client Cancelled
Requirements change every day, and occasionally Clients overestimate the workers they need. The "Client Cancelled" will mark the Candidate as "Available" for the day of the shift selected, meaning they can be put forward to fill other shifts available that day. However, the Vacancy on the shift will reduce by 1, so that no one else in your team fills a shift that is no longer required.

Once actioned, this will be viewable in Filled Hours view and in the Candidate's "By Day" view under the Orange Calendar Icon with a "X".
Off Sick
When your Candidates are unwell, this option can be used. When you select this option the Candidate will be marked as "Unavailable" for the day of the shift selected, and the Vacancy at that shift will re-open for your team to put someone in their place.
Using this reason will leave a Yellow Icon of a person coughing in Filled Hours view and in the Candidate's "By Day" view.
Delete Completely
Instead of marking a shift as Cancelled, occasionally you may want to remove it all together. To delete a booking you must meet the below criteria:
Conditions To Delete A Booking
Booking has to be in Draft or Initial status
User MUST have Admin permission (reach out to Support for help with this)
The Booking must have no actual cost on it
The Booking must not have any Timesheets in the invoice status of Open, Run or Posted.
The Delete Completely, well, it will do just that! The Candidate will be wiped clean with the booking, and there will be no record of it on Talisman. You can choose to mark the Candidate as Available using the tick box, or if you don't tick this the candidate will be marked as Unavailable for the day the shift was on. The Vacancy will also re-open to have another Candidate booked in. It will also leave a thumbs down and a note in the shift modal against the candidate who was previously in the booking. This is to show that they were previously taken out of the booking, and stop other consultant putting them back in:
Note: When using the Delete Completely option, you MUST lease a Cancellation note.
Change of Hours
Although not a cancellation reason, it is so common for hours to change on a booking. In Talisman you can do this by selecting the "Change Shift Time" option in the shift options.
You will have the option to then select the new time from your Shift options, or create a new time all together. You can book in the same candidate, or choose another who is able to make the new time. You can even use all the same rate information as before by selecting "Use Previous Rates". Within a matter of seconds, your new shift time is set!
