Hierarchy Structure

Master Taskade's hierarchy structure — tasks, blocks, projects, folders, and workspaces — to organize and manage your workflow.

Updated this week

Overview

Personal and work projects have one thing in common — they rely on structure and order. That's why we built Taskade on a simple hierarchy that consists of 🗃 Workspaces, 🚋 Teams (formerly Folders), and 📝 Projects.

Workspace Hierarchy

Workspaces

A workspace sits at the top of the hierarchy structure. It's your productivity space where you store all your Projects and Teams (more on that below). A workspace also lets you tag and filter projects and keep everything organized.

  • Each new workspace is billed separately.

  • All workspaces come with a Home space.

  • Workspaces have unique members and permissions.

  • You can create multiple Teams within a workspace.

💡 Examples: A workspace represents your organization. You can create one for your startup or freelancing business. You can also set up a workspace for a large business with multiple teams and departments.

Teams (formerly Folders)

Teams, like workspaces, are also collections of projects, except that they are "nested" within a workspace. Every Team is a separate space with unique tags, team members, templates, and permissions you can easily manage.

  • Use Teams to group teams/clients/departments.

  • Organize your personal and work projects into separate Teams.

  • Teams are private by default so you need to invite people to collaborate.

  • You can modify Team settings in Team Permissions.

💡 Examples: If you work with multiple clients, you may want to create multiple Teams inside a workspace to work and chat with them in separate spaces. You can also create Teams for each team/department in your company.

Projects

A Project is is like a digital canvas. It can contain just about anything, from notes and to-do lists to documents, mind maps, images, and videos. Every project is also a collaboration hub where you can work and chat with your team.

  • A project is always located inside the Home space or Team.

  • You can create an unlimited number of projects.

  • Each project can have separate collaborators and guests.

💡 Other Use Cases: If you are familiar with the Getting Things Done (GTD) productivity method, you can use a project as an inbox before reorganizing the tasks into other projects. Projects can also be used to speed up navigation between other projects using Backlinks.

Blocks

Blocks are collections of tasks and sub-tasks. A block can consist of many types of nodes, all grouped together under an H1 or H2 heading. You can quickly create blocks of identical tasks by clicking the ➕ Add Block button.

Tasks / Nodes

A Task/Subtask (or "node") occupies a single line inside a Project. Every task can have many subtasks, each with its own sub-tasks nested under it.

Taskade lets you quickly transform your tasks into:

  • 🔢 Numbers

  • 🔡 Letters

  • ℹ️ Paragraphs

Horizontal Navigation

Vertical hierarchy adds another dimension to your Workspaces and Teams. It also gives you access to additional features and functionalities from a central dashboard.

The Projects tab aggregates all your projects within a Team/Workspace.

The Tasks tab gives you a consolidated view of your tasks with due dates.

The Roadmap tab displays projects with due dates on a timeline.

Browse, customize, create templates for various use cases.

View and manage finished projects.

Sidebar Navigation

The workspace navigation sidebar gives you quick access to the contents of your spaces, including projects, agents, AI teams, automations, and media.

  1. Click ⌄ next to a Workspace or Team to expand it.

  2. Click a section to view its contents.

  3. Click ⌄ again to collapse sections.
