If you have not already watched the billing set up video, we recommend watching that first, here. If you have already watched this video, please read the instructions below, then watch the video, to understand how TeachKloud handles different billing cycles/weeks in a month.

Some months have different weeks in a year, how does that work?

For subscription packages, TeachKloud operates on fixed billing cycles—weekly (every 7 days from the start date chosen in the billing cycle), bi-weekly (every 14 days from the start date chosen in the billing cycle), or monthly (every 30 days from the start date chosen in the billing cycle). Once you select a billing cycle and type, TeachKloud sends invoices at that interval, regardless of whether a month has four or five weeks. To ensure consistency, it is important to calculate the average monthly fee, to ensure you receive the total amount in the relevant attendance period (see video below). This approach guarantees that invoices remain consistent throughout the year, eliminating the need to adjust payments for months with varying numbers of weeks.

For other billing types, such as attendance, daily or sessional rates, TeachKloud automatically calculates the invoice based on the child’s attendance schedule and billing type chosen. For example, invoices are generated within the selected billing cycle—whether weekly (every 7 days from the start date chosen in the billing cycle), bi-weekly (every 14 days from the start date chosen in the billing cycle), or monthly (every 30 days from the start date chosen in the billing cycle); and according to the billing type, either prepaid (in advance) or postpaid (after attendance within the billing period). This ensures accurate billing without the need for manual adjustments, regardless of the specific month or week length (see example video below).
