How do I send individual or group messages on the web interface?

Send messages, view read receipts or disable app messages

Send Messages

To send a message using the web interface:

  1. Navigate to the 'Messages': Select "Messages" from the menu bar on the left side of your screen.

  2. Enter your message: Compose the content of your message.

  3. Add attachments (optional): If needed, attach relevant files.

  4. Select the room(s): Choose the appropriate room(s) for the message.

  5. Choose the recipient(s): Select either all parents, specific parents, or educators. Note that messages cannot be deleted or edited after sending, so double-check the content before proceeding.

  6. Send the message: Click "Send message" to distribute it.

Once a message has been sent, you can track who has read it by selecting, "View recipients" (in green) next to the sent message. A detailed read receipt status is available, with read/unread statuses indicated by ticks and timestamps.


How Read Receipts Work

  • No time stamp: The recipient has not received the message yet.

  • Only time stamp: The recipient has received the message but has not opened it.

  • Time + one tick: The recipient has received and opened the message.

Tick Indicators:

  • 0 ticks: The message has not been received.

  • 1 tick: The message has been received but not opened.

  • 2 ticks: The message has been received and read.

Viewing Delivered Messages and Replies

Messages sent from the web interface are delivered individually, ensuring privacy (recipients cannot see other people's replies). Replies to these messages can be viewed either on the TeachKloud: Childcare App or the Web Interface by navigating to Messages > Teacher Messages > Teacher’s Name > Room.

Disabling Group Messaging for Staff and Parents on the Mobile App

Group chat is automatically disabled by default. When the setting is disabled, it will appear green. Individual messaging is automatically enabled, and when this option is enabled, it will appear grey. You can toggle group and individual messaging by clicking here.

Even when group messaging is disabled, users of the web interface can still send bulk messages via the "Messages" section. These messages will appear in the parent app, as individual/private messages.
