Lesson History by Student Table

The Lesson History by Student table provides a breakdown of every individual student's attendance, lesson costs and lesson details across your entire calendar within the selected date range.

How to Access the Lesson History by Student Table

To view this table, click on Calendar and then click on Lesson History by Student from the navigation menu.

What is the difference from the Lesson History Table?

While the standard Lesson History page lists events by lesson, this page breaks everything down by individual student.

  • Group Class Tracking: If you run a group lesson with 5 students, the Lesson History table shows it as one single event. This table will display it as five separate rows, one for each student.

  • Granular Filtering: This makes it a great place to audit a single student's total hours, verify individual attendance marks, or export a specific student's history for a parent review.

Columns on the Table

The Lesson History by Student Table displays the following columns to help you track individual student data:

Column Name

What It Displays

Date

The date of a student's lesson.

Start

The start time of the lesson.

Lesson Name

The title of the lesson.

Teacher

The teacher assigned to the lesson.

Cost

The cost of the lesson that is billed to the customer.

Invoice

The specific invoice number this lesson has been included on (see exceptions below).

Notes

A "Yes" or "No" message indicating if lesson notes have been recorded for the lesson.

Status

A lesson's status.

Check Mark

Indicates completion status:

  • Green Check Mark: The lesson is completed.

  • Grey Check Mark: The lesson is incomplete.

Can be clicked on to complete the lesson as well.

NOTE: If a student's invoice column is empty, it is always due to one of two reasons:

  1. Not Yet Invoiced: The lesson hasn't been added to an invoice yet.

  2. Package or Flat Fee Billing: The student's profile billing method is set to Package or Flat Fee. Because these methods charge a bulk rate upfront rather than billing individual sessions, their lessons are generally not attached to a standard invoice.

Filters

Use the filters at the top of the table to narrow down your list and audit specific student data:

Only displays the lessons that fall on or between the selected dates.

Status Filter

Narrows the table by attendance status (e.g., Attended, Cancelled, Missed).

  • Includes an "Unsent Notes" option to see if lessons have notes not yet emailed to clients.

  • If using the Custom Lesson Statuses Add-on, your custom statuses will appear when you filter by the default status they are mapped to.

Invoice Status

Filters lessons based on whether they have been included on an invoice (Invoiced vs. Uninvoiced) and the status of the invoice (Paid vs. Unpaid).

Package & Flat Fee Exception: Lessons for these billing methods will always display as "Uninvoiced." Because they are billed via bulk upfront rates, individual sessions are generally not added onto a standard invoice.

NOTE: The Lesson History by Student table only includes results going back 1 year from the current date. In order to view results further back, you can first apply the date filter and then use the "Search" field.

Downloading the Table

If you need to analyze your data offline or share it with someone, you can export the table directly into a spreadsheet format.

How to Download Your Data:

  1. Apply Filters First: Ensure you select your desired Date, Status, or Invoice filters before exporting. The download will only include the filtered results currently visible on your screen.

  2. Execute the Download: Click the "Download" button located on the top right-hand side of the page to save the spreadsheet file to your computer.

NOTE: When using an Apple computer, Numbers can occasionally misinterpret standard CSV date formats, displaying columns with broken placeholders like "YYYY-05-DD".

To resolve this and restore the correct dates, follow these steps:

  1. Click the "Format" button in the upper right corner of Numbers.

  2. Click the "Cell" option at the top of the "Format" sidebar.

  3. Select the column with the dates.

  4. In sidebar under "Data Format" select "Date & Time".

Suggested Uses for the Table

While this page gives you a great high-level view of student attendance, the Lesson History by Student table can also be used to streamline the following management tasks:

Viewing Uninvoiced Lessons

If you bill your customers using an hourly billing method, lessons can be added to an invoice when using the "Lessons by Date" option during invoice creation.

You can use the Invoice Status filter to track your billing lifecycle and see exactly which lessons have been paid for:

  • Uninvoiced: Displays all lessons that have occurred but have not yet been added to an invoice.

  • Invoiced - Paid: Displays lessons that have been added to an invoice and the customer has paid the invoice.

  • Invoiced - Unpaid: Displays lessons that have been added to an invoice but the invoice is still outstanding or overdue.

Viewing When A Lesson Was Completed

A lesson becomes a "Completed" lesson the moment its status is updated from Scheduled and into a finalized attendance category:

  • Attended

  • Cancelled

  • Missed (or any custom status mapped to these three types)

Every time a user updates a lesson's status, Teachworks automatically records a precise background timestamp. You can use the Lesson History by Student table to audit these timestamps and verify exactly when your administrative or teaching team finalized past records by following the steps here: Viewing When a Lesson Was Completed.

Completing Lessons

You can save significant time by finalizing multiple lessons simultaneously directly from this table, rather than opening each student's record individually.

How to update statuses in bulk:

  1. Check the boxes in the far-left column for each lesson you want to complete.

  2. Locate the dropdown menu that appears at the top of the table once rows are selected.

  3. Choose the status (e.g., Attended, Cancelled, or Missed).

  4. Click "Go" to apply the change to update all selected rows instantly.

Viewing Lesson Notes

The Lesson History by Student table can also function as a streamlined workspace for auditing, writing, and refining the lesson notes sent to your families and/or students.
