Teachworks provides multiple ways to access and view lesson notes depending on your specific administrative or instructional needs. Below is a summary of the various methods:
Method 1 - The Lesson Summaries Report
The Lesson Summaries Report displays lesson notes for one or multiple students in a single, consolidated table. This is the best method if you want to review notes across the entire company for a specific date range.
How to Generate the Report
Navigate to the Lesson Summaries report and apply the following configuration:
Data Type: Select Lessons by Student.
Dates & Filters: Adjust the time frame as needed. Use the filters if you want to narrow the results down to a specific student, client, teacher, or location.
Results: Set to List.
Group: Choose how you want to sort the data (by Date, Teacher, Customer, Student, or Service).
Columns: Select Shared Notes and/or Private Notes so they appear in the final table.
Click Submit to view your compiled notes.
TIP: If you need to run this exact report regularly, switch the "Save Settings" toggle to "On" before generating it. Give it a descriptive name (e.g., "Monthly Shared Notes Review").
The next time you run the report, simply select "Use Saved Settings" at the top of the page to load your template instantly from the dropdown menu.
Method 2 - The Lesson History by Student Table
The Lesson History by Student table is best for quickly checking notes for specific individual sessions, editing existing notes, or tracking down notes that haven't been sent to clients yet.
How to View Notes in Lesson History
Click on "Calendar" and then click on "Lesson History by Student".
Select your desired date range and filters at the top of the table.
Click on "Go" to refresh to table.
Click on any Lesson Name to open a quick-view pop-up of that lesson's notes.
TIP: Sidebar Shortcuts
Narrow Your Search: Use the search field to type a specific student or teacher's name to instantly isolate their history.
Export to Excel: Click the "Download" button to review your lesson notes in spreadsheet format.
If you need to modify notes or write them from scratch, click the "Complete" button (the checkmark) next to the lesson. This opens the "Complete Lesson" form where updates can be saved.
Editing Notes & Viewing Unsent Notes
Adding or Editing Notes: If you need to modify notes or write them from scratch, click the "Complete" button (the checkmark) next to the lesson. This opens the "Complete Lesson" form where updates can be made.
Viewing Unsent Notes: To identify notes that were saved but never emailed to clients, select the "Unsent Notes" option in the "Status" filter at the top of the page and click "Go". You can then review and send them out to your clients.

Method 3 - The Main Calendar
If you prefer a visual approach, you can access lesson notes directly from your Main Calendar using two different paths.
Option A: Via the Complete Lesson Form
Use this method if you want to view the notes and potentially edit them at the same time.
Click on "Calendar" and then click on "Main Calendar".
Click on a lesson and then click the "Complete" option in the pop-up.
This will allow you to view the "Complete Lesson" form containing the lesson notes.
Option B: Via the View Lesson Modal
Use this method if you want a quick, read-only look without leaving the calendar.
Click on "Calendar" and then click on "Main Calendar".
Click on a lesson and then click the "View" option in the pop-up.
Click on the "Notes" button and a pop-up window will appear with the Lesson Details.
Method 4 - The Student Profile
The Student Profile view is the fastest way to check a single student's recent notes. It displays a list of their 10 most recent lessons, along with any associated notes.
How to View Notes on a Student Profile
Click on "Students" and then click on "Students".
Click on the student's name to open their profile.
Click on the "Scheduling" tab if it's a Child Student or the "Learning" tab if it's an Independent Student.
Scroll down to the “Recent Lessons” section.
Click a lesson's title to view the lesson details including any notes.
This method is also useful for substitute teachers. By default, teachers can only view the lesson notes from their own lessons, but following this method will allow them to view the student’s 10 most recent lessons’ notes. Learn more: Allowing Substitute Teachers to View Lesson Notes
