How to sync time off into the schedule using iCal links

By syncing your team's time off into the schedule, you can:

  • Get full visibility over your agent's time

  • Automatically plan around your agent's planned time off and absences.

  • Monitor shrinkage

  • Create accurate timesheets for all your agent's time

Surfboard connects with over 50 different HRIS and calendar clients using iCal links.

An iCal link is a URL that allows one application to view and display calendar data from another application. iCal stands for iCalendar, a computer file format for storing calendar information.


Step 1: How to find your iCal link

First, you'll need to find the iCal link for your HRIS system or calendar client.

Once you've found your iCal link, copy and paste it into a document so you have it to hand for the next step.

If your HRIS system is not listed here, we may still be able to support it. Google 'How to find iCal link for [your system]', and you should be able to find a guide. If your are unable to find this iCal link, please talk to our team via Intercom.

Step 2: Add your iCal to Surfboard

  1. Navigate to Settings > Time off calendar

  2. A grey box should show on the page, if you've already added a calendar, click 'add another calendar'.

  3. Paste the iCal link you noted down into the iCal link field

  4. Give your calendar a name

  5. Click 'Save'

Surfboard will now start syncing your team's time off into the schedule. Surfboard refreshes the data from iCals every 20 minutes.
