If you're experiencing issues syncing your HiBob time off with Surfboard here are 3 quick things to check within your HiBob account.

Ensure everyone is included when generating your iCal

You can generate an iCal for your team in two ways: either create an iCal for everyone or crate one for a filtered list of people. The first option is the safest method to ensure that we get the time off for everyone. However, if you choose to generate the iCal from a filtered view, it's essential to verify that the filters include everyone in your team.

You can generate the iCal by:

  1. Navigating to the time off schedule

  2. Click the 3 dots in the top right and select “Sync with external calendar”

  3. From here you can choose to generate an iCal for everyone or for the filtered view

  4. You can adjust your filters from the time off schedule in the top right

Ensure surfer's display names match names in Surfboard

In HiBob, you have the option to set display names for your team. The displayed name you set will be what appears in the iCal export. It's important to ensure that this displayed name includes both the first and last name of the surfer and matches exactly with the name in Surfboard.

  1. You can check and edit someones display name by:

  2. Navigating to people page

  3. Select the individual

  4. Scroll down to “Basic info”

  5. Click the edit icon in the top right of the box

Ensure time off policies are publicly visible

Within HiBob, you can create various policies for your time off. These policies consist of rules that govern how time off is requested and managed. In order for a policy to be included within the iCal the visibility must be set to "public".

You can check the visibility of a policy by:

  1. Navigating to time off settings

  2. Click policies

  3. Select the policy you want to check

  4. Scroll down to the request section

  5. You should see the visibility setting as either “public” or “private”

If this is set to private you can change it by:

  1. Clicking “actions” in the top right and then select edit

  2. Select the “request” step from the left hand side

  3. Switch the visibility to public
