How to directly integrate with Google Calendar

Surfboard directly integrates with Google Calendar to make managing your schedule as easy as possible:

  • Your shifts and activities will be copied from your Surfboard schedule to your Google Calendar.

  • Any time a new schedule or update is published, your calendar will update right away.

  • You can control the availability settings of activities, allowing you to seamlessly integrate with other booking tools like Calendly or Hubspot.

We offer a range of configurations to suit each organisation's needs including the ability to sync schedules into your primary calendar, or auto sync meetings and events into Surfboard. Speak to your Customer Success Manager to find the right set up for you.

Connecting to Google Calendar

  1. Log into your Surfboard.

  2. Click your avatar in the top right of your screen and click 'Connect Google Calendar'

  3. You'll then be asked to grant permission to Surfboard to connect to your Google Calendar. Give permission.

  4. After around 2-5mins, 'Surfboard' calendar will appear under the 'My Calendars' list in GCal. Your Surfboard schedule will show up too.

πŸ‘€ If you cannot see the option to 'connect google calendar'

There are a couple of reasons why you may not see this option

  1. Your company may not have enabled this feature for your team. Please ask your manager if you would like to use this feature.

  2. If you previously connected and then disconnected Surfboard from your Google Calendar we may need to reset you account for you. Please reach out to use on Intercom and we can help.


Syncing events and meetings

Surfboard will automatically sync any events containing the word 'Calendly' directly into your schedule. These events will also include a quick link to any video meeting links, such as Zoom or Google meet.

To sync any other event, such as a meeting or 1:1, invite block@teamsurfboard.com to the event. Learn more here

If you would like meetings and events to sync into Surfboard automatically, speak to your Customer Success Manager about enabling this feature.


Allowing others to view your calendar

To let others in your company view your Surfboard schedule you can share the link to your calendar.

First, make sure you have the correct settings.

  1. Select the three dots next to your Surfboard calendar in Google Calendar.

  2. Select Settings and sharing

  3. Under Access permissions for events tick the box to make this available for your company.

  4. You can choose if you want to show the event titles (which activities are being worked on) or only whether they are free or busy.

  5. Press Get sharable link

  6. Copy the link and share it with your team!

If you would like meetings and events to sync into primary calendar, speak to your Customer Success Manager about enabling this feature.


How to disconnect Surfboard from your Google Calendar

You can choose to disconnect Surfboard from your Google Calendar at any time.


FAQs

How do I set the availability (busy/free) settings of activities?

Admins/managers can define if an activity shows as busy or free in the schedule. By default, all activities and breaks will be set to busy.


If your manager wants time to appear free, e.g. so time can be booked with you, they can change the setting by editing the activity in the schedule.

What availability do shifts show as?

Shifts will show as 'free' by default, to prevent them blocking out your availability in the calendar.
