Tips for moving a surfer to another team

Here are a few tips to streamline operations when one or more surfers are moving to a different team within Surfboard.

Change their team on the surfer page

First, we recommend moving the surfer to their new team in Surfboard.

Head to the Surfers page; there are two ways to do this:

  • Recommended if editing lots of surfers: Select 'edit team' and change the surfers within the team from the dropdown

  • Recommended if editing single surfers: Click on a surfer and change their team in the dropdown within the form. This is also a good chance to review the surfer's skills, especially if their responsibilities will change in their new team.

Once a surfer has moved teams they will now:

  • show as within that team in the surfer page

  • show as within that team and in the schedule for managers and surfers

  • show their data related to that team in the insights and performance pages

Changing a surfer's team will not automatically update their inclusion in plans.

Move the surfer to their new team's shift plan

Next, if you schedule teams individually, you will need to move the surfer to the new team's shift plan.

First, go to the new plan and add the surfer to that plan.

If the surfer is keeping the same shift plan as before, we recommend opening up their current plan in one tab, and the new shift plan in another tab so you can easily compare and copy across. If their shifts are changing, go ahead and create their new shift pattern in the new shift plan.

You can then apply this updated shift plan to the schedule. This will remove any previous shifts the surfer had scheduled. And, remember to publish any updates when you're ready!

When you are finished setting up their shifts in the new shift plan, remove the surfer from the old plan by clicking the bin icon next to their name.

A note on round robins: Adding or remove surfers from an existing round robin will cause the round robin to regenerate the order based on the number of surfers involved, e.g. if it changes from a 10 person rotation to an 11 person rotation.

Add the surfer to the new team's activity plan

Finally, if you schedule teams individually, you will need to move the surfer to the new team's activity plan.

Head to their old team's activity plan and remove them from the surfer dropdown. If there were any rules added specifically for this surfer, e.g. a specific lunch break or activity, you can delete or reassign these rules to another surfer.

Now, go to the surfer's new team's activity plan and add them from the surfer dropdown. It's likely that their schedule will be created automatically depending on the rules you have set up. Refer to the schedule preview to double check and make any tweaks to rules as needed.

When you're happy, reapply this activity plan to get this surfer embedded and working with the team. Don't forget to publish!
