How to use fill shifts in the schedule

The fill shifts feature allows you to efficiently schedule tech on-call or out-of-hours support by filling any remaining time within a day. This feature is designed to streamline payroll and reduce errors by providing accurate timesheets based on the shifts.

How fill shifts work

Traditional shift types (fixed shifts) have a fixed start and end time. Whereas fill shifts, fill all available time within a day or specified time window.

Fill shifts will automatically wrap around any existing fixed shifts in the schedule, reducing the need for manual editing and adjustments. They are primarily designed for scheduling additional out-of-hours responsibilities, such as tech on-call duties or support during public holidays. Activities can be added to fill shifts just like they would be for fixed shifts.

How to create a fill shift

  1. Go to the Shift Plans tab, and create a new plan or edit an existing one.

  2. Click 'New shift' from the left-hand sidebar

  3. A modal will open. Select 'Fill' under shift type

  4. Next, enter the hours of the day you want this shift to fill when applied to the schedule.

    1. As a reminder, this is the earliest and latest time that the surfer should be working. Fill shifts will 'wrap around' any existing fixed shifts in the schedule.

  5. Hit save and your new shift will now be usable in the schedule for use.

How to use fill shifts

  1. You can schedule fill shifts from the week view of the schedule.

  2. Click onto any surfer's day to manually add a shift.

  3. A modal will open. Select your 'fill' shift from the dropdown and hit save.

  4. This shift will 'fill' the available space on each day they are added.

  5. The fill shift will automatically trim around existing shifts, and appear with the ↔️ emoji.

Current limitations

  • You can’t yet use these shifts in round robins or the shift pattern builder, they can only be added manually into the schedule.

  • You can’t schedule overlapping fill shifts in the same day, e.g. Fill shift 1 (00:00 - 00:00) cannot be scheduled on the same day as Fill shift 2 (6:00 - 22:00).

  • Surfers can’t request to change fill shifts.
