Sustainability Management User Guide

The purpose of the document is to provide a process flow and guidance for suppliers to create an account on TELUS Supply Chain and to complete the Sustainability Assessments which have been assigned to them. This document will also explain how to complete a task and upload a file.

Invitation and Account Set up

An invitation to TELUS Supply Chain will be issued to users of your organisation by the retailer. You will be notified of this in the form of an email including a link to create your account and set up your password.

If you haven’t received your invite please check your junk/spam folder as it may be in there.

Follow the link to set up your account.

Once you have created your account, you will be prompted to read the End User Licence Agreement and confirm you accept the terms.

If you are having issues logging in, please ensure you use the following link to access Supplier Approval:

If the issue persists, you can also request a password reset.

Once you have entered your email on the sign in page, press the 'next' button. Then select 'Forgot password?', followed by 'Change password' to trigger a password reset request for your account.

You will receive an email for your Supplier Approval account. Follow this to reset your account password.

Task List Issued

A task list will be issued to your organisation by the retailer. You will be notified of this task in the form of a ‘Daily Digest’ email. The email contains links that, once selected, you will be directed to TELUS Supply Chain and straight to the task which needs completing.

The new tasks that have been assigned to you will be towards the bottom of the email in the green ‘For Information’ section.

The task will have an ‘Active’ status and you can select ‘Show’ on the right-hand side to open the task and view the sections which need to be completed.

Firstly, click on ‘Complete Sustainability Management Assessment’ which will navigate you to the ‘Sustainability Assessment’ area.

Alternatively, you can click on ‘Sustainability’ and then on ‘Sustainability Assessments’.

Completing a Sustainability Assessment

Begin by selecting ‘Start a new assessment’.

A pop-up information box will prompt users to select the supplier that needs to be assessed. View the dropdown in ‘Supply to assess’ and select the relevant organisation. Select ‘Start Assessment’ and an assessment card will be created.

Once the assessment has been started, suppliers will be directed to the question set. There are eight sections that need to be completed; General, Crop, Soil, Crop Inputs, Operations and Fuel, Water Usage, Land Management and Waste. These sections will help navigate throughout the assessment.

Each section contains the relevant questions, any with a red asterisk* are mandatory and require a response to complete the assessment.

At the end of each section, to the bottom right-hand side, there is a prompt to help navigate through to the next section of the assessment.

Some of the questions will have an ‘i’ next to them. If you click on the ‘i’, a pop-up will open which will give you guidance for answering the question.

If users need to leave the assessment at any point, the information will automatically save. To continue, users can navigate back to the assessment through the ‘Sustainability’ tab, selecting the relevant assessment and clicking ‘Continue’.

Once all responses have been entered and all sections are complete, select ‘Results’.

This will redirect you to the overall ‘Crop Sustainability Results’ overview page.

This will allow the supplier to visualise the results based on the data entered in the assessment and also return to make any required amendments, before completing the assessment process by selecting ‘Submit Results’.

Once the results are submitted, assessments can no longer be changed and the assessment is in a view-only state.

Once assessments are submitted, they are automatically shared upward within the supply chain with the scheme owner.

Complete Task List

Now you have completed the assessment, navigate back to the ‘Tasks’ tab.

Mark the ‘Complete Sustainability Management Assessment’ task as ‘Complete’ by ticking the box. This will notify the retailer that the task has been completed and it is ready to review.

Work your way down through the other sections of the task and add the documents required to the task by clicking ‘Upload file’.

When adding a file, work your way through the boxes. Make sure you select an expiry date, file type and who you are adding the document on behalf of. Once you have completed the boxes and added the file click ‘OK’.

Once you have added all the relevant files to the task, mark the task as ‘Complete’.
