For necessary background, please preread Mastering Policy Overrides before proceeding with this article.
Purpose
Create a new override rule by selecting what to change and which items it applies to. Then save, apply, and reprocess the data so that recommendations reflect the change.
What You Define in a Rule
Overrides to Apply: This is what you want to change. You can override many parameters.
Filters: This is which items, suppliers, or locations the rule should apply to.
The “Overrides to Apply” Section Explained
Enter specific values for any fields you want to change. You can use one, many, or all of the available fields.
Stocking indicator
Classifies how an item is managed in inventory (e.g., stocked, non-stocked, obsolete). This determines if and how it's replenished.
Replenishment cycle days (RC)
The amount of stock, in days, to be purchased when a recommended order is triggered.
Target fill rate
The desired percentage of days you wish to have stock available. This differs from the fulfillment rate in that if you have 15 days without stock, but no customer orders are placed during those 15 days, your fulfillment rate is still 100%. However, your achieved fill rate is 50%.
Lead time days (LT)
The time between placing an order for an item from the supplier (or Distribution Center) and that item being available for sale or use.
Minimum safety stock days
The minimum level of safety stock, expressed in days of demand, held to protect against stockouts due to unexpected demand or delays.
Maximum safety stock days
The maximum level of safety stock, expressed in days of demand, allowed to avoid excessive inventory holding costs.
NOTE: If you set a maximum safety stock days value, you should also set a minimum safety stock days value.
Minimum stock level
The minimum level of stock, expressed in units, held to protect against stockouts due to unexpected demand or delays.
Source of supply
Select whether items will be sourced from an "External supplier" or "Distribution centre" (or select "No change" to leave the source of supply unchanged).
Supplier (disabled when Source of supply = "Distribution center")
The external supplier from which the item is sourced.
Distribution center (disabled when Source of supply = "External supplier")
The internal distribution center from which the item is sourced.
Minimum order quantity (MOQ)
The smallest amount of an item you can order from a supplier. Selecting "No change" will use the MOQ from the data file. Alternatively, you may also set it to the order multiple in the data file, or 1.
Order multiple (OM)
The unit quantity in which an item must be ordered (e.g., if the OM is 12, you must order in multiples of 12, like 12, 24, 36, etc.). Selecting "No change" will use the OM from the data file. Alternatively, you may also set it to 1.
Step 1: Open Policy Overrides
Navigate to Settings > Policy overrides.
Step 2: Start a New Rule
Click New rule at the bottom of the page.
Step 3: Define the Rule Details (Name, Sequence, and Dates)
Enter the following information:
Description: Enter a clear name that explains the rule’s purpose.
Sequence Number: Set priority. If multiple conflicting rules apply to the same product, the rule with the highest sequence number will be applied (for example, sequence 2 overrides sequence 1).
Start and End Dates (Optional): Set the period when the rule is active so you do not have to enable/disable it manually.
Step 4: Enter the “Overrides to Apply”
In Overrides to apply, enter the new values for the parameters you want to change (for example, set Lead time days to 200). Only fill in fields you wish to override.
Step 5: Define the “Filters”
In Filters, define which products, suppliers, or locations this rule should affect.
Step 6: Save and Apply the Rule
Click Create at the bottom of the page to save the new rule.
Step 7: Apply Overrides
On the main screen, click Apply overrides to apply the new rule set.
Step 8: Reprocess Data
Wait for the overnight refresh or manually reprocess your data: System > Data Refresh > Reprocess Data.
⚠️ Watchouts
Processing Is Required: A new or updated rule will not affect order recommendations immediately. You must create the rule, apply overrides, and then reprocess data (or wait for the overnight refresh) for the changes to take full effect.
Set Both Min and Max: If you set a Maximum safety stock days value, also set a Minimum safety stock days value to avoid potential conflicts.
💡 Tips
Use the Description: Explain why the rule exists so other users understand its purpose later.
Use Start/End Dates: Set effective periods in advance so you do not have to remember to enable or disable a rule manually.
