Navigate to: Settings > Configuration > Import / Export


Definition

This setting specifies how the app should handle items that are no longer sent from the ERP system.

Use case

Available options are:

  • Left alone: Nothing will happen to these items. They will retain the last status sent from the ERP system and will still be included in replenishment decisions.

  • Deleted (not recommended): These items will be deleted from the app and all information will be lost. If the items are sent from the ERP system again, they will be treated as new items.

  • Marked as obsolete (recommended): These items will remain in the app but will be marked as obsolete. They will not come up for replenishment anymore. If the items are sent from the ERP system again, the stocking indicator will have to be manually changed in the app unless the stocking indicator is received from the ERP.

The preferred option is to mark these items as obsolete. This ensures they still appear on reports for analysis while preventing them from being reordered.

Explanation

To expand on the use case above, below are some reasons why certain settings are preferred and why others should be avoided based on your app and data file setup.

  • Left alone: This option is risky because it can leave inactive products classified as stocked, which means they might be replenished. The only time this may be suitable is when the ERP system is unreliable and may unintentionally exclude items from the data file.

  • Deleted: This option can also be risky, though some businesses use it to remove inactive products and reduce clutter. However, deleting items removes their sales history, which prevents them from being included in supersession relationships and can cause missing data in sales totals. If this option is used, ensure the Wait X days before items are deleted parameter is set above 0.

  • Marked as obsolete: This is the recommended option. It prevents the app from ordering inactive items while preserving their sales history, allowing them to contribute to supersession relationships. If an item is sent again from the ERP after being made obsolete, the stocking indicator must be manually changed in the app or updated in the data file where it is maintained.
