Objective
The objective of this article is to explain the different stages of the candidate evaluation process and detail the available actions at each stage. This information aims to improve candidate management, ensuring efficient and organized handling.
Steps to use the evaluations section
Step 1: Access the “Evaluations” section
Click on the “Evaluations” section from the main panel to view all active tests and associated candidates.
Step 2: Select the evaluation
Choose the evaluation you want to review to see the process details and manage the candidates.
The following information is displayed in each process:
# Column: Process ID number
Evaluation Column: Name of the process and the user who created it
Date Column: Shows the date and time when the process was created
Expiration Column: Displays the expiration date only if one was set for the process
Activity Column: Shows the user who created the process and the time since the last activity (e.g., 1 hour ago)
Step 3: View the List of Applicants and Process Stages
In the candidate list, review each column with key information. The “Applicant” column shows the current stage of each applicant.
In the “Stages” column, you can manually configure each candidate’s position in the process and access information on the user who sent the invitation, the invitation date, the process completion date, and the date when the report was shared (if applicable).

Step 4: Take action on the candidate
To perform an action, click on the three dots in the “Actions” column next to the candidate’s name.
Step 5: Choose the desired action
You can perform the following actions depending on the process needs:
Upload CV: Compare the CVs of the selected candidates for a more comprehensive evaluation.
Share results: Send the candidate’s report internally within your company for review or decision-making.
Resend invitation: Allows you to resend the invitation to the selected candidate so they can complete the evaluation.
Discard: Exclude the candidate from the selection process, sending an automatic notification via email.
Delete: Remove the candidate from the account without sending a notification. This action is irreversible and does not communicate any change to the candidate.
Search and Filters for Applicants
In Testkokoro, you can manually search for applicants by entering specific information, such as their name. Additionally, you have the option to use advanced filters to streamline the search and better organize the information:
Process Status: Filter by the current status of the applicant by selecting the "All statuses" option.
Process Stage: Refine your search based on the stage of the process the applicant is in by using "All stages".
Approved Security: If you wish to list only applicants who have passed all anti-cheating checks, select this option.
Approved Technical Level: If your process includes technical tests, you can filter applicants who have reached the required technical level.
Applicant Photo: Use this filter to get results of applicants who had a photo taken during the process.
Average Score: This option allows you to see the average score obtained by applicants in their process.
These filters will help you quickly find applicants who meet the desired criteria and manage your processes efficiently.

Exporting Process Results
In Testkokoro, you can export the results of candidates from a process in Excel format. Below, we explain how to do it and what information is included in the file:
How to Export the Results?
Go to the list of candidates for the process you want to export.
Scroll to the bottom of the list.
Click on the “Export Excel” button.
The downloaded file will include several tabs (sheets) with detailed information:

Tab: Candidates
General information for each candidate:
Full name and email address.
Date of invitation to the process.
Stage of the process they are in.
Overall score obtained.
Evaluated ID.
Compliance with anti-cheating monitoring.
Result of the intelligence test (if included in the process).
Tab: Competencies
Results of the evaluated competencies, available only for candidates who completed the process.
Tab: Disc Evolution
Results of the Disc Evolution test, if included in the process.
Tab: Custom Tests
Results of the custom tests configured for the process, if applicable.
Important Note The filters applied on the platform are only visual and do not affect the content of the exported file. For example, if you use a filter to show only candidates who completed the evaluation, the Excel file will include all candidates from the process, regardless of the selected filter.
Candidate process stages (evaluations section)
Invitation sent: The candidate has received the evaluation invitation via email.
Invitation opened: The candidate has opened the invitation email.
Invitation clicked: The candidate has clicked the link in the invitation and is ready to start the evaluation.
In progress: The candidate is completing the evaluation.
Generating report: The system is processing the results, which may take approximately one minute.
Evaluation completed: The candidate has finished the evaluation, and the report is available for review.

Clear tracking: Candidate statuses facilitate detailed tracking of the process, from invitation to evaluation completion.
Specific data in each column:
Candidate: Shows the candidate’s name, email address, and the date the evaluation was sent.
Status: Indicates the candidate’s progress in the evaluation.
Overall score: Ranks candidates according to their scores, prioritizing the highest performers.
Stage: Defines which phase of the selection process the candidate is in.
Actions: Allows the execution of the mentioned actions to efficiently manage the candidates.
Compare: Enables comparison of up to 5 candidates to determine the best fit for the position, based on the results obtained.
Tips and Best Practices
Effective Comparison: When comparing candidates, upload their CVs for a more comprehensive view of their skills and experience.
Organized Management: Use the candidate states to organize the process and make timely decisions at each stage.
Email Template Configuration: Make sure to edit and configure the email templates correctly in the “Configuration” section before starting the evaluations. The “Evaluation Discarded” email is only sent if the candidate is manually discarded.
Common Errors and How to Avoid Them
Report Not Generated:
Common Error: The candidate has completed the evaluation, but you don’t see the report.
Solution: Ensure the candidate's status is “Evaluation Completed.” The report is only generated when the process is correctly finished.
Technical Issues During the Evaluation:
Common Error: The candidate cannot complete the evaluation due to technical problems.
Solution: Resend the invitation from the “Actions” column to allow the candidate to continue from the last email sent.
Invitation Not Received:
Common Error: The candidate did not receive the invitation for the evaluation.
Solution:
Option 1: Resend the invitation from the “Actions” column.
Option 2: Invite the candidate from a different email and check the statuses of “Invitation Sent” and “Invitation Opened” to confirm that the email was received and opened.
