Understanding Participant Statuses

Once your study is published, participants will begin applying and appear in your Participants tab with different statuses:

  • Qualified: Participants who have completed all required details and screener questions correctly. These participants are ready to be invited.

  • Not Qualified: Participants who fit some criteria and have answered screener questions, but need manual review. You can evaluate these participants and decide whether to move them to qualified status.

  • Invited: Qualified participants who have been sent calendar booking links but haven't scheduled yet.

  • Update Status: Appears 15 minutes after scheduled start time, allowing you to mark attendance.

  • Scheduled: Participants who have booked specific time slots for their sessions.

  • Attended: Participants who showed up and completed their scheduled session.

  • No Show: Participants who didn't attend their scheduled session.

  • Reported: Participants who have been reported for inappropriate behavior.

Managing Participant Applications

Reviewing Not Qualified Participants:

  • Review participants who didn't automatically qualify

  • Check their screener responses and profile details

  • Manually promote participants to "Qualified" if they meet your needs

  • This gives you flexibility to include borderline candidates

Inviting Qualified Participants:

  • Once you have qualified participants and your calendar is set up, you can send invitations

  • Invited participants receive booking links to schedule their own session times

  • They can choose from your available time slots

What Happens When Participants Book

When a participant schedules a session:

  • Their status automatically changes from "Invited" to "Scheduled"

  • A session is created in your project

  • A Tetrabot is automatically scheduled to record and stream the meeting

  • Notification emails are sent to your designated team members

  • The participant receives a calendar invite with your meeting link and special instructions

Participant Management Features

  • Update status: After sessions, manually update participant status to "Attended" or "No Show"

  • Cancel sessions: Cancel scheduled sessions (if cancelled within 4 hours of the session, participant will still receive their incentive)

  • Report participants: Flag participants for inappropriate behavior during sessions

  • Search and filter: Find specific participants using the search bar

  • Export data: Export participant information to CSV

  • Track progress: Monitor how many participants you've qualified, invited, and scheduled

  • View details: See participant profiles and screener responses
