Project task templates let you map out your full project workflow once and reuse it again and again. Instead of recreating the same tasks for every new client, you build a template, apply it to a project, and everything is ready to go instantly β including due dates if the template is connected to a package.
π Note: Task templates live under Templates in the main menu, alongside your packages and add-ons.
Setting Task Dates
Every task in a template has a start date and due date field. Rather than inputting specific calendar dates, you'll set each date as a number of days after the project start date β for example, "+ 3 days" means the task starts or is due 3 days after the project kicks off.
This is required for every task, and it's what allows Tezzera to automatically schedule your entire project workflow the moment a template is applied β as long as a project start date has been set.
π Note: If you're applying a template through a proposal, the project start date is set in the proposal settings. If you're applying a template directly to a project, make sure the project start date is set in the project settings first.
Step 1: Create a New Task Template
Navigate to Templates from the main menu and click New β Template.
Give your template a title
Click the folder icon to the left of the title to assign a color
Add a description to help you identify what this template is for
Step 2: Add Task Groups and Tasks
Click the Add button in the top right corner to start building out your template. You can add task groups to organize your workflow into phases or categories, and individual tasks within each group.
π‘ Pro tip: Structure your task groups around the phases of your process β for example, Discovery, Design, Revisions, and Delivery. This makes it easy to see where a project stands at a glance once the template is applied.
Step 3: Save Your Template
Once you're happy with your task groups and tasks, your template is saved automatically and will appear in your Templates library ready to use.
Applying a Template to a Project
When you're ready to use a template, open it from the Templates page and click the three dots in the top right corner, then select Use Template. A pop-up will appear giving you two options:
Apply to an existing project β select any existing project from the list
Create a new project β set up a brand new project using this template as the starting point
π Note: Applying a template to an existing project will override any tasks already in that project. We're currently working on the ability to combine multiple templates β stay tuned for that update.
Once applied, all tasks are fully editable. Feel free to adjust, add, or remove anything to fit the specific project.
Converting an Existing Project into a Template
If you've already built out a project workflow that you'd like to reuse, you can save it directly as a template without rebuilding it from scratch.
Open the project you want to save as a template
Click the three dots in the top right corner of the project
Select Save as Template
Your project tasks will be saved as a new template in your Templates library
π‘ Pro tip: This is a great way to build your first template. Set up a test project, get your tasks exactly how you want them, then save it as a template to reuse for every future client.
Connecting a Task Template to a Package
Once your task template is set up, you can connect it to one of your service packages so that tasks are automatically populated the moment a client books that package through a proposal.
To do this, open the package in Templates, go to the Task Template tab, and import the relevant task template. Due dates will be scheduled automatically based on the project start date set in the proposal.
