Adding Client Billing Info & Tax ID/VAT Numbers to Invoices

You can now display more client details on your invoices — like a contact's name, email, and billing address — plus your own Tax ID or VAT number if your country requires it. Here's how to set it all up.

Step 1: Add a contact profile for your client

Head to your Contacts Directory and create a profile for the person you want listed on the invoice.

If your client's company has multiple people involved (say, a founder and a separate employee that handles their billing), add a contact profile for any person that you might want to display.

On a contact's profile, you'll find the following tabs:

  • Basics — name, company name, email, phone number

  • Billing Address — their full billing address

  • Projects — which project(s) this person should be linked to

📌 Adding someone to a project as a contact does not give them full access to that project. It simply marks them as the primary contact — so they can be notified about things like invoices — without giving them visibility into tasks, chat, files, or other project details. If you also want them to have full access to everything else inside your project, you'll need to invite them to the project separately.

Step 2: Set them as the billing contact for the project

Adding a contact to a project makes them the primary contact for that project, but that alone doesn't put their info on the invoice. To actually display their name and address on invoices:

  1. Go to Project Settings > Billing

  2. Assign the contact as the Billing Contact for that project

  3. You'll see a preview of exactly how their address will display on the invoice

From there you can:

  • Click Edit/Update to jump back to their contact profile and make changes

  • Click Add New to create a brand-new billing contact on the spot, without leaving the project


Step 3: Check your invoice

Once your billing contact is set, open any new (or existing, in-progress) invoice and the contact's info should populate automatically.

If anything's wrong, you'll see small edit address links right on the invoice editor — these are only visible while you're editing, not on the live/sent invoice.

Step 4: Add your Tax ID or VAT number (if you need one)

This lives in Workspace Settings > Basics, at the very bottom.

  • Select your country, and if a Tax ID or VAT number is typically required where you're based, an input field will appear

  • Enter your number, and it will show up on your invoices automatically

  • Remove it, and it disappears from your invoices just as easily

Not every country requires this, so don't worry if you don't see the field applying to you.
