Recurring invoices let you automatically bill clients on an ongoing basis — perfect for retainers and other repeat agreements. Here's how to set one up, edit it, and manage it over time.
Setting Up a Recurring Invoice
Go into a project → Invoicing → New Invoice.
Add your line item(s) — the item title, quantity, and price — for the deliverable or service that your recurring invoice is for.
Set your Due date. This tells Tezzera when your recurring invoice should begin.
Under Invoice type, select Recurring ("For ongoing agreements").
Fill out the settings under Recurring Payment Plan:
Recurring name — This is internal only, your client won't see it. We recommend naming it after your client or the project (e.g. "Muse Coffee House – Monthly Retainer") so it's easy to spot later.
Frequency — How often the invoice repeats (weekly, monthly, etc.)
End Point — Choose when you went your recurring invoice to stop: Never, On a specific date, or After a set number of invoices.
Create invoices in advance — Set how many days ahead Tezzera generates upcoming invoices. This controls how far out your client can see what's scheduled in your project Invoicing tab.
Finish filling out any other invoice info as usual — payment methods, whether to charge tax, and toggling on automated payment reminders (past due and/or before due).
Hit Share to send the invoice to your client (or to yourself first, if you want to test the flow).
Reviewing & Editing an Invoice in a Recurring Plan
Opening any invoice that's part of a recurring plan shows a visual view of the whole plan, so you can see exactly what you're changing before you change it.
What you'll see:
The all generated invoices across the top. Every invoice in the series is laid out with its due date, amount, and status (Sent, Upcoming, Paid, etc.). The invoice you're currently viewing is highlighted in black.
An "Apply edits to" toggle, right below that, with two options:
Just this invoice — changes are applied to your currently selected invoice only. The rest of the plan is untouched.
This and [X] future invoices — changes are applied to the currently selecting invoice and every unpaid invoice after it. (Due dates always stay individual per invoice, even when you choose this option.)
Things you might edit on an individual invoice within a plan:
Add or remove a line item
Adjust a price
Change the due date
Need to change something bigger — like the frequency or end date of the whole plan? Click Edit plan settings, right there in the "Apply edits to" box (or from the invoice's Settings sidebar).
At the bottom of any individual invoice that's part of a recurring plan, both you and your client will see a reminder bar noting that it's part of a recurring plan and when the next invoice is due. If you're viewing the final invoice in the plan, that bar will let you know it's the last one.
Managing Your Recurring Payment Plans
You can manage every recurring plan across all your projects in one place: go to Financial from your dashboard, then the Recurring Payment Plans tab.
Opening a plan here shows you:
Status (see below)
Which project it's assigned to
The recurring amount
Frequency and end date
Next invoice due date
Total invoices created
A full list of every invoice generated under the plan, with the option to view each one
Click the "…" menu on the plan for more options, including Pause and Cancel.
Recurring Plan Status options:
Active — The plan is ongoing.
All Invoices Created — Every invoice needed for the plan has been generated, but not all of them have been sent or paid yet. If any are still open, you'll see that noted next to the status (e.g. "All Invoices Created – 4 still open").
Completed — The plan has ended and all invoices have been fulfilled.
Paused — The plan is temporarily paused, so no new invoices are being generated or sent. It can be resumed at any time.
Canceled — The plan has been canceled and won't generate any new invoices. Any invoices that were already scheduled will still be sent, as long as they weren't deleted.
You'll also see the invoice frequency listed next to the Recurring label on your project's Invoicing tab, so both you and your client can always tell at a glance how often it bills.
Pausing & Resuming
Pausing a plan is immediate — no new invoices will be created while it's paused, and you'll see a "Paused" status next to the plan name.
When you resume a plan, Tezzera shows you a preview of the next invoice's new due date before you confirm — so there are no surprises about when things pick back up.
Editing the Schedule
Opening Edit schedule gives you that same visual, invoice-by-invoice view so you can see exactly where your changes will take effect. From here you can adjust:
Frequency
End date
How many days in advance invoices are created
If your changes affect invoices that were already generated, Tezzera will flag which ones will be deleted and recreated to match the new schedule. Anything already paid or sent stays untouched.
Canceling a Plan
Canceling stops all future invoices from being generated. You'll be asked whether you also want to delete any upcoming/unpaid invoices already created for that plan:
Check the box to remove those unpaid invoices too.
Leave it unchecked and they'll still be sent out as scheduled — Tezzera just won't create any new ones.
Paid invoices are always kept, so you'll always have a record of what's been collected. Note: canceling a plan can't be undone.
