Task Statuses: The Complete Guide

Task statuses help you and your clients stay on the same page about where things stand — and several of them do some of that communicating for you automatically. Here's everything you need to know.

Choose a Status

By default, every task comes with five status options, always available on every project and template — no setup required:

  • Not Started

  • In Progress

  • For Review

  • Waiting on Client

  • Complete

What each default status does

Not Started

The task hasn't been picked up yet.

In Progress

Work is actively underway.

For Review

Use this when you've got something ready for a client to look at — a concept, a mockup, a presentation. The moment you mark a task as For Review, any client added to that task automatically gets an email letting them know it's ready for their eyes.

Waiting on Client

Use this when the ball's in the client's court — booking a call, sending over website copy, approving something before you can move forward. Marking a task as Waiting on Client automatically emails the client to let them know there's something you need from them.

Complete

When a task is marked complete, everyone on that task — client and team members alike — gets an automatic email letting them know it's done.

💡 Pro tip: For Review, Waiting on Client, and Complete all take manual follow-up off your plate. Instead of messaging clients separately, just update the status and Tezzera will instantly send an email to any client on that task notifying them that the status has changed.

Adding Custom Statuses

Need more options for your unique process? You're not limited to the five defaults.

  1. Go to Workspace Settings > Variables.

  2. Create custom statuses, tags, and fields for your tasks here.

This takes you to your Workspace Settings, where you can add custom statuses like:

  • On Hold

  • Needs Revision

📌 Note: To add custom statuses to a project, they must be enabled in your Project Settings to appear as options on tasks in that project. To do this, follow these steps:

  1. Go to your project and click the "∙∙∙" in the top right corner

  2. Click Edit Settings > Statuses

  3. Toggle on any of your custom task statuses that you want to be available inside that project

This allows you to have lots of custom statuses, but only toggle on the ones that are actually needed for each specific project.

Turning On In-App Status Change Notifications

The email notifications for For Review, Waiting on Client, and Complete happen automatically — no setup needed. If you also want a heads-up inside Tezzera itself whenever a task status changes, here's how:

  1. Click your profile picture in the top right corner.

  2. Select "My Account" from the dropdown.

  3. Go to "Notifications."

  4. Scroll to the bottom and toggle on the option for status change alerts on tasks you're added to.

💡 Pro tip: If you're already getting the email notifications, you might not need this on too — it's really for anyone who wants a second nudge inside the platform itself.

⚠️ Note: This toggle only affects in-app notifications. The email notifications for For Review, Waiting on Client, and Complete are always on and can't be turned off.
