Create a Workflow

Workflows allow you to automate repetitive steps in your process so your projects feel smoother and more consistent for both you and your clients. With workflows, you can automatically create tasks, update statuses, send emails, create leads, trigger meeting invites, and more.

This guide covers the basics of building workflows in Tezzera and how to start using automation inside your client process.


What is a Workflow?

Workflows are automations that run when something important happens. In the current version of Tezzera, workflows activate when a specific form is submitted.

For example:

  • A new inquiry comes in

  • A client submits an onboarding questionnaire

  • A client submits concept feedback

When that form is submitted, Tezzera performs the actions you set in the workflow. This helps reduce manual tasks, save time, and keep your process consistent. At this stage, workflows are only triggered by form submissions, but more trigger types will be added very soon.


Create Your First Workflow

Step 1: Open the Workflow Builder

Go to Workflows in your sidebar navigation.
Click New Workflow.

Step 2: Name Your Workflow

Use a clear name that helps you remember what it does. Examples:

  • New Inquiry Response

  • Client Onboarding Kickoff

  • Send Review Call Link

Step 3: Choose a Trigger

Select Form Submitted.
Choose which form will activate this workflow.

Examples:

  • Lead Capture Form

  • Client Onboarding Questionnaire

  • Concept Feedback Form

Once selected, the workflow will run any time that form is submitted.


Add Workflow Actions

After selecting your trigger, add the actions you want to run. You can add multiple actions and reorder them as needed.

Available Actions

Create a Task

Automatically add a new task to a project.You can set:

  • Task name

  • Task group

  • Due date

  • Assignee

  • Description

Great for onboarding steps like: “Prepare proposal” or “Set up client folder”


Update a Status

Automatically update the status of a task.

Example: Update a task’s status after a form is submitted, such as marking onboarding tasks as “In Progress.”

Create a Lead

Automatically generate a new lead in the Leads group when someone submits your inquiry form.

Send an Email

Send a message to the email address submitted in the form. Examples:

  • A thank-you message for inquiries

  • A welcome email after onboarding

  • A link to book a call

Emails use your brand styling so they always look clean and professional.


Send a Meeting Invite

Automatically send a booking link for a meeting page. Great for steps like:

  • Sending a kickoff call link

  • Scheduling a review meeting after revisions


Edit or Delete a Workflow

Edit

Open the workflow
Make your updates
Click Save

Delete

Open the workflow
Click the three dots menu
Select Delete
This permanently removes the workflow.


Best Practices for Workflow Automation

Start small
Automate one small step before building larger workflows.

Use clear workflow names
This makes it easier to maintain and edit them later.

Automate tasks that always happen
For example, sending a thank-you email after an inquiry.

Avoid over automation
Too many automations firing at once can create confusion.

Test your workflow
Submit the form yourself to make sure everything works correctly.

Keep actions in logical order
For example:

  1. Create a lead

  2. Move the project

  3. Send a confirmation email

Troubleshooting

The workflow did not run

Check:

  • Is the correct form selected as the trigger?

  • Was the form actually submitted by the user?

  • Is the workflow turned on and published?

The email did not send

Emails only send to the email included in the form submission.
Double check your form has an Email field.

Tasks are not assigned correctly

Make sure the project exists and the assignee has access.

Actions appear out of order

Drag and drop to reorder your actions.
