Leads (V3)

Leads screen in the new version of Trackbox.

Leads tab allows you to see leads and all relevant info regarding them and would help you manage and control your traffic.


Filters & Search

Let's start with learning the possible filters you can use in order to view and sort leads:

**Please Note filters with a checkbox instead of a circle have multi-select.

  • Dates- Allows you to pick a date range to filter by.
    You can also view leads by the presets, for example leads from last month.

  • Date Type - The default data type is by registration date, aka by the data the lead got to your system.
    You can also filter leads by deposit date (when the lead has been approved in Falcon).

Additionally you can filter by affiliates, brands, countries, campaigns, boxes and lead type.

Possible Lead Types:

  • Leads - successful lead registration

  • Depositors - a lead that was converted

  • Soft Failures - a lead that failed to be sent and was sent to another brand.

  • Failures - a lead that failed to be sent and didn't have any other brand that can get it.

  • Unassigned - a lead that failed from your side / TrackBox API due to wrong box settings, for example, wrong country / invalid working hours / days / cap limits.

In order to see the reason for the failure you need to press on the lead and then check the brand response > registration tab.

New filters that we added in this new version include:

  • Offers, Creatives - You can filter by your offers and creatives.
    You can refer to our Offers manual to learn more.

  • Login IP, Login Useragent - Filter to check if the registration IP of the lead matches the Autologin usage IP (You can learn more about autologin here).

  • Callstatus, FTD Pull - Filter by the status of the pulling methods, whether there is an error with the status / FTD API we have with the brand.

Advanced filters:

Here you have specific filters to dive deeper into your statistics and leads.

  • Leads Information: If you work with data / cold leads, you can hide certain affiliates and / or campaigns stats to keep their leads separate from the warm leads, as shown in our Affiliates & Employees guide.

  • Search By Parameters:
    You can search by specific values such as funnel (so), call status, or other additional parameters passed to you by your source.

  • Filter By Days & Hours

  • Search By Multiple Emails


Search:

You can also search by different criteria, you have various options to search by such as:

Customer ID, Unique ID, Phone, IP, First and Last name of the lead, etc.


Views

In this new version of trackbox we introduced the Views feature which will allow you to create "templates" of saved filters for specific scenarios / days.

For example you can create a filtered template for Canada, from Affiliate - Test, only on Campaign number 10.

Additionally the columns you adjusted will also save in the view.

And every time you come back to that view the filters and column configurations will stay as they were, only the main view refreshes back to default so you will have a reference point.

If you can't see a column, for example phone number, you can ask support to add it to your user.

If you're not a general manager - please ask your management or a general manager to open a chat and ask this permission for you.


Actions

Table Actions:


In the top right you have the 3 dots menu in which you can export the data from leads tab to an excel file, import leads and also delete leads:

If you can't see export option please contact support and if you are not a general manager, ask your management or a general manager to ask to add it for you.

  • Export - Export all filtered leads (first filter what you need or use a ready view) then export all the results.

  • Import Leads - This option allows you to import leads directly from a CSV file into your Trackbox system.
    You can download a template file and fill in the lead details and you can upload into a specific campaign and under the relevant affiliate.



Lead Actions:

In case you want to make some changes in the lead all you need to is check the lead on the left side of the screen and the available actions will appear:

Fraud Check


This is one of the new features introduced in the new version, it will allow you to learn more about the lead origin, and value the lead quality based on the connection info, phone etc.

Keep in mind this feature is paid and you can contact your account manager to learn more about it.

Change Type


With this action you can change a Lead to an FTD or vice versa.

Pick "change type" and then FTD or lead.

Change Sale Status


​This allows you to change the sale status of the lead, use it to manually set a sale status for your affiliate to see (note that automatic status updates for this lead will not work after manually editing it).


Inject Leads

With this action you can choose leads and re-send them to a brand.

You can choose to inject to a box or directly to a campaign, select the affiliate and enable auto-login usage.

Delete

With this action you can delete leads individually or with multi-selection (You can't delete Depositors, you need to change them back to leads first).

Changing a failure to lead

In case you see a lead has failed for some reason but on on the broker's side this lead was successful, you can change this lead from failure to a lead type.

You can use the "Change Failure To Lead" or "Update customer ID".

You can find these actions on the right side of the lead inside the 3 dots menu,

And then you need to enter the customer ID (the lead ID on the broker's side). This is done in order for you to be able to pull statuses and get deposits for this lead.


Lead Information

In order to check additional information about a lead, for example why a lead has failed, all you need to do is to click on the relevant lead or on the "show details" button.

After doing so you will see all the possible info we have on the lead split into different categories.

Here you can see the lead ID, the brand transaction ID (customer ID) and unique id (click id) and all other info about this lead.

You can also use the full view button on the right side to enter full view mode

Lead Types


The following are collapsible sections, click to open.

Lead


A lead that has successfully registered on both the receiving CRM (the advertiser's side) and the sending CRM (your system).

In case you see this lead as lead and you should see it as depositor or the status has still not changed please refer to our manual on API Testing and attempt to pull manually to check for potential errors.

Depositor


A lead that has changed to a depositor.

Please Note: Leads that are in falcon or are already depositors will not update their status automatically since they are counted as depositors, you can still change their status manually or check out our call status mapping feature to automatically map certain statuses to different ones.

If you want to see the call status first, you can send another test lead to the broker and ask them to change the call status for this lead first.

A lead can be changed to a depositor either automatically, i.e. the broker changes it on their side and after we pull lead statuses and depositors automatically by API request, or you can change manually.

In case it was changed manually you would see it with a little warning sign:

Once the lead is a depositor you would see the deposit date, the date the lead was changed to a depositor in your system), and FTD found date, when the lead has reached your Falcon.

These two columns don't have to be with the same value. For example, if a lead reached your Falcon and waited there for some time they would be different, as the date the lead have reached Falcon and the date it was approved are different.

Failure


A lead that has tried to reach the advertiser's CRM and have failed for some reason.
In such case you should first forward the lead's request and response and check with the broker why this lead has failed.

Soft failure


A lead that tried to register to one campaign in the box, failed for some reason and then registered to another campaign.

You can click on the arrow on the left side of *LEAD* or *FAILURE* types
to view the attempt history of the lead and which brands it tried to enter


Or you can filter for Soft failures only, in the filters at the top to check the attempts that were made before the final one.

Unassigned


A lead that failed to reach your CRM.
Possible reasons for a lead to be unassigned include:

  • "Expired Offer or no such box" - make sure you have a relevant GI (box number) in your CRM. In some cases the affiliate might get confused and send to CI 18 and not to GI 18, for example.

  • "No matching campaign based on country logic. Box: (GI). country: X " - make sure the GEO sent from the affiliate is set in the box. For more info please check our boxes manual.

  • "Same user Exist in the last 20 min with the same IP. duplicate LEAD"

    This means that you are blocking leads that tried to register with the same IP within 20 minutes, one lead has registered with this IP and within 20 minutes after registration another lead has tried to enter with the same IP.

    The same can happen with email and phone number and it will depend according to what you have set.

    You can change the duplicate blocking settings in your "System Settings":


  • "No active campaigns in box" - means that there is no active campaign for this GEO that is set in the box. Make sure the relevant country is open and the affiliate is assigned to this campaign.

  • "No valid campaigns for the selected activity hours." - means that the lead tried to register to the campaign but it was done outside of the activity hours set for this campaign in the box.

  • "All campaigns in box exceeded their caps." - means that the lead have tried to register to a campaign in the box but the cap set in the box in every relevant campaign have exceeded the cap you have set.

  • "Offer not valid or no campaigns found. BOX ai: not attached to the campaigns in gi: " - means that the affiliate that has tried to send a lead to a campaign he is not assigned to.
