Charge Guests Using a Saved Card

In this article, learn how to securely charge a guest’s previously saved credit card for the remaining balance of a Catering & Events order

Written by Agent Support Bot

The Saved Card feature is available to customers in the United States only. It is not available to customers in Australia, Canada, Ireland, or the UK.

Saved Card is a feature available in Toast Catering & Events Pro. When a guest agrees to save their card, Toast securely stores it on the guest's Catering & Events customer record at your restaurant.

Previously, a saved card only worked for the single order it was saved on. Now the card stays on file with the guest, so you can charge it for deposits, final balances, and changes on their current and future orders and invoices without asking for the card again.

Key things to know:

  • A guest can have one saved card on file at a time.

  • When a guest saves a card, it applies to all of their upcoming orders, including orders that previously had a card saved at the order level.

    • Note: Any cards saved on orders prior to October 26, 2026 will not automatically be saved to your guest profile.

  • Cards can no longer be saved for a single order only. Cards are saved to the guest.

  • Guests agree during checkout that the restaurant can charge the card for the current order and for future orders.

Note: Saved Card is only available with Toast Catering & Events Pro.

You can ask a guest to save a card on an order, a proposal, an invoice, or at online catering checkout. The guest can save a card with a payment (such as a deposit or full payment) or without a payment.

  1. Navigate to your event or order in Toast Catering & Events.

  2. Create the order, proposal, or invoice and select Require card on file. To turn this on by default, update your settings as seen in the image below. You will find this setting in Toast Web by navigating to Catering & Events > Settings > Invoice Settings.

  3. Send the proposal or invoice to the guest. For online catering orders, the guest is asked to save their card at checkout.

  4. The guest enters their card and agrees that the restaurant can charge it for this order and future orders.

  5. Once the guest saves their card, it is securely stored on their customer record for future use.

If a guest already has a saved card, the saved card details appear on the order in place of the Require card on file option, and you can't collect a different card until the saved card is removed.

If a card is on file for a guest, and you are sending over a new proposal, the Request card on file button will be greyed out and a pop-up will appear indicating that a card is already saved for the customer as seen in the image below.

You can charge a saved card from Toast Web or from the Toast POS.

Charge the saved card in Toast Web

  1. Open the order or invoice. You can also go to Finance > Payments > Customer invoices and open the invoice.

  2. Go to the Payment schedule tab. The Card on file section shows the guest's saved card.

  3. Select Enter payment next to the saved card to charge it for a deposit, the remaining balance, or an order change.

  4. A receipt is automatically emailed to the guest, and the receipt shows the card was saved. The invoice status updates to Paid once the transaction is successful.

Charge the saved card on the Toast POS

  1. On the POS, pull up the catering order or invoice. The order and invoice share the same check, so the saved card is available whichever you open.

  2. Select the Saved card button to charge the card on file.

Note: To use a different card for a payment, select a different payment method instead of the saved card. You aren't required to charge the saved card. If the guest's saved card is expired or the charge fails, it will be indicated in Toast Web so you can send a new invoice to collect payment with a different card.

Guests can see their saved card on their event view and receipt.

To view or remove a saved card as a restaurant:

  1. Open the guest's customer profile in Toast Catering & Events. The Card on file section lists the saved card.

  2. Select Remove card from file. You can also remove the card from an order.

  3. Review the warning and confirm.

Note: Removing a saved card removes the guest's consent to charge it and deletes the card from all of the guest's past and future orders. You can't undo this. To use a new card, have the guest save one on their next order or invoice. The guest must contact the restaurant to remove a saved card.

Is the guest notified when their card is charged?

Yes. Guests automatically receive a receipt by email when the saved card is charged.

Does the guest have to enter their card again for future events?

No. Once a guest saves a card, it's stored on their customer record at your restaurant. You can charge it on their future orders and invoices without asking for the card again.

What happens if the saved card fails or has expired?

If a card has expired or failed, it will be indicated in Toast Web so you can send a new invoice to collect payment using a different card.

Can a guest have more than one saved card?

Not at this time. Each guest can have one saved card. To use a different card, remove the saved card and have the guest save a new one, or collect payment with a different card for a single payment.

Can I update or remove a saved card?

You can remove a saved card from the guest's customer profile or from an order. Removing it deletes it from all of the guest's past and future orders.

Can I save a card without an order or payment?

You can request a card on file on a proposal without taking a payment. You can save a card to a guest profile before creating the order through the proposal form.

Can the saved card be charged automatically on a due date?

Not at this time. Staff select the saved card to charge it.

Can the saved card be used at other restaurants or in other Toast products?

No. The card is saved to the guest's Catering & Events customer record for your restaurant and can't be shared across Toast products or used on other order types. This saved card is only available for Toast Catering & Events orders.

How do I manage saved card settings?

There are no additional configuration steps to enable Saved Card beyond using Toast Catering & Events Pro. You can optionally turn on Require card on file by default in your settings.
