Question
Why am I not able to send my tips to Toast Payroll while using Toast Tips Manager?
β
Answer
Use this article to work through all the possibilities of why your Toast Tips Manager tips cannot be approved or cannot be sent to payroll. Follow these steps in order for best results:
Did each employee clock in and out and/or close their shift?
If an employee working a recipient job (recipient jobs are found in your tips policy) has not clocked out for a shift, the system cannot calculate correct tip amounts for that day/shift.
If an employee is working a contributor job, you also need to make sure they've completed their shift review and close shift processes. Navigate to Reports > Labor > Shifts. Set the date range to match the days you're trying to approve or send. Then check the bottom of the page for any Open Shifts. If one exists, select it, enter a clock-out time, and select Submit.
Has payroll has already been processed for part or all of the date range you're trying to send?
If you have multiple pay groups and multiple payrolls, it's best practice to approve and send all tips to payroll for all pay groups before beginning to run and submit any payrolls. This will avoid errors that may arise when employees work within multiple pay groups.
Double-check the days you're trying to send to Toast Payroll. Did you mistakenly include a day for an upcoming pay period? Or maybe you included a day from the previous pay period?
If you have tips that should have been included on a previous payroll, you can include them on this payroll as long as they were within the same quarter.
If the tips need to be paid out in a different way, you have two other options to get these tips to your staff:
Use a quick calc to help you cut a manual check, pay in cash, or use a cash transfer app.
Create an off-cycle payroll to pay these tips sooner, but with direct deposit.
Do you see a payroll in Toast Payroll that the tips can be attached to?
It's possible that you do not have an upcoming payroll scheduled. If this is the case, contact Customer Care.
Is an employee's timesheet not attached to the pay calendar?
You can easily correct this by opening Toast Payroll and navigating to Time. Use filters to locate the timesheet and select the Timesheet hyperlink (two dates). Then use the drop-down menu next to Add+ to select a relevant payroll which you want to attach this timesheet to.
Are the jobs involved in your tip policy mapped correctly?
If you get an error regarding a job being unmapped, you'll need to contact Toast Payroll to map jobs between Toast Web and Toast Payroll. Select the blue dot in the lower-right corner of any Toast Payroll page to chat with Customer Care.
