Before You Begin
Who can access this: Financial contacts and users with account admin access permissions (see Permissions Reference Guide) in your Toast account
Where to do this: Toast Web, navigate to Reports > Payments > Invoices
What you'll accomplish: Locate your monthly invoices for software,hardware, and Interchange Plus fees; filter by type and download for record-keeping
Find Your Invoices
In Toast Web, select Toast account > Billing > Billing & Invoicing.
The Billing & Invoicing page displays:
Current month's invoice summary
Past six months of invoices including the following invoice statuses:
Paid in Full
Voided
Open
A Show more button to view older invoices (beyond six months)
If we were unable to capture payment and your invoice was not successfully paid, it will be listed as Open. All open invoices display a Pay Now button allowing you to pay directly in Toast Web.
You can update your bank account information by selecting the Update billing account hyperlink just beside your bank account’s last 4 digits showing on that page.
You can also check your active subscriptions for which you are getting billed by click on manage subscriptions on the top right side of the page.
Your invoices appear in reverse chronological order (newest first).
Expected outcome: You see a list of invoices with dates and amounts.
What Invoices Contain
Toast sends invoices for the following charges:
Software and module subscriptions — Billed monthly or annually based on your contract. Appear on your primary invoice each billing cycle.
Hardware purchases — Equipment charges (terminals, printers, etc.) can appear along with your monthly invoice for the month or it may appear on a separate invoice from software charges based on the purchase date.
Additional services — Any Toast add-ons or special charges (e.g., Toast Advertising if applicable).
Account adjustments — Credits and debits. Removed subscriptions appear as negative line items on invoices.
All financial contacts listed in your account receive invoice emails when they are generated.
Expected outcome: You understand what each invoice covers and why you received it.
Filter Invoices
The Billing & Invoicing page includes filter options to narrow the invoice list:
All — Show all invoices
Software fees — Only software and module charges
Hardware purchases — Only equipment charges
Other purchases — Any additional charges or adjustments like Services Hours/Fees or Interchange Plus fees.
Select a filter to display matching invoices. This helps you find a specific invoice type quickly.
Expected outcome: The invoice list updates to show only invoices matching your selected filter.
Download Invoices
Each invoice opens as a PDF in Toast Web.
On the Billing & Invoicing page, select the invoice you want to download.
The invoice opens as a PDF.
Select the blue Download invoice button at the top or bottom of the PDF.
Your browser downloads the file to your default downloads folder.
You can also download multiple invoices at once:
Select Download all invoices (appears on the top right side above the start of the invoice rows)
A ZIP file containing all selected invoices downloads to your computer
Expected outcome: You have the invoice file saved to your computer for records or forwarding to your accountant.

Invoice Timing
Invoices take approximately two to three hours to appear in Billing & Invoicing after they are generated by Toast. You will see a Pending status listed on your invoice if it is not yet available in Toast Web.
If you do not see an invoice you expect:
Wait a few hours and refresh the page.
Use the Show more button to check if it appears in an earlier month.
Check your email for the invoice notification sent to financial contacts.
If an invoice still does not appear after 24 hours, contact Customer Care.

Frequently Asked Questions
Can I view invoices outside of Toast Web?
Invoices are only accessible through Toast Web. You cannot view invoices in Toast POS or the Toast mobile app. If you need an invoice copy for your records, download it from Billing & Invoicing and save it locally or forward it to your accountant.
Expected outcome: You know where to access invoices and how to share them with others who need them.
What if my invoice shows a negative amount?
A negative amount typically indicates a credit or a removed subscription that created a debit from your account. Negative line items reduce the total amount you owe Toast that billing cycle or may result in a credit to your account.
If you do not understand a charge on your invoice, contact Customer Care with your invoice number for clarification.
Can I get invoices for past years?
Yes. Use the Show more button on the Billing & Invoicing page to view invoices older than six months. Invoices are retained indefinitely in your Toast account.
What if I removed a subscription or module?
Removed subscriptions appear as negative line items on your invoice for the month they were cancelled. You will not see charges for that subscription from the next billing cycle.
Are hardware invoices separate from software invoices?
Hardware and software may appear on the same invoice or separate invoices, depending on your purchase timing and contract terms. The Filter option lets you view hardware purchases separately if needed.
