What is a POS access code?
A POS access code (also called a POS passcode, clock-in number, or PIN) is a unique three-to-eight digit number assigned to each employee. Employees use their POS access code to interact with Toast POS devices. A POS access code may be required for:
Logging in to a POS device to take orders
Clocking in and out of shifts
Performing administrative actions such as re-sending invitations
Completing secure system updates
Verifying identity during sensitive actions or permission changes
Keep your POS access code confidential. If you need to find or change a code, follow the steps below.
Before you begin
Required permission: You need the 4.9 Employee Info permission to view or edit POS access codes. You must also have at minimum the same user permissions as the employee whose code you want to view or edit.

When to use: Use these steps to find or change any employee's POS access code, including your own.
You cannot view or edit POS access codes on the Toast Now app. |
Find an employee's POS access code
Log in to Toast Web.
Navigate to Employees > Employee management > Employees.
Locate the employee from the list and select their hyperlinked last name.
Select the Profile tab.
Locate the POS access code in the Account info section.
Expected outcome: The employee's current POS access code is displayed in the Account info section of their profile.
Find your own POS access code
To find your own POS access code, follow the same steps above and search for your own name. You need the 4.9 Employee Info permission to view your own code.
If you cannot access your own code:
Ask your manager or system administrator. Managers with the 4.9 Employee Info permission can view any employee's code. POS access codes are often assigned during account setup, so your manager may have a record of it.
Check your onboarding emails. Your POS access code may have been included in setup emails sent when your account was created.
Check your Toast Payroll employee number. If your restaurant uses Toast Payroll, your POS access code may have been set from your employee number during the hiring process. See Toast Payroll: Employee Number and POS Access Code FAQ for details.

Edit or enable a POS access code
After navigating to the employee's Profile tab (steps 1β4 above):
Enter a new number in the POS access code field. The code must be three to eight digits.
Select Enable POS access code login for this location.
Select Save Changes.
Expected outcome: The new POS access code is saved. The employee can use the new code after the POS device syncs.
