Tax Management Overview
Many of the items on this page are maintained by your company in the Toast Payroll Tax Center. We highly recommend visiting this page at least once a quarter so you can complete outstanding tasks and help enable a successful quarterly tax filing. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf, which may result in financial penalties for your company. After applying for and receiving your state tax account number(s), payment frequency, unemployment rate, or once you complete your third-party administrator (TPA) linking, log into Toast Payroll and select Taxes from the left-hand navigation. Complete any available tasks here, including Form 8655, missing Social Security numbers, and more.

Where to Find Copies of Tax Filings Processed in Toast Payroll
Quarterly tax packages are found within the Toast Payroll system under Reports > Tax Filing. These reports are typically available the third full week of the month following quarter-end. Toast Payroll will only generate tax packages for quarters in which a customer was actively processing payroll within the Toast Payroll system.
Note: Toast Payroll may not be able to complete and/or submit tax filings where the Toast Payroll system reflects missing, erroneous, or incomplete information in a customer's account. It is the customer's responsibility to ensure that they have provided Toast Payroll with all requisite tax information in a timely manner. Copies of tax return submissions do not guarantee that a return was submitted to or accepted by an applicable agency.
Register for Your ID - Withholding and Unemployment Taxes
Registration with the state sets up your tax account, identified by an Employer Identification Number (EIN). This number enables Toast Payroll to file electronically on your behalf. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf, which may result in financial penalties for your company.
Kentucky income tax withholding registration and unemployment tax registration are done on separate websites. Follow both sets of instructions below to get set up with the respective tax agencies. Both account IDs are needed for payroll purposes.

How to Register - Income Tax Withholding
Register online with the Kentucky Department of Revenue (DOR) via the Kentucky Business OneStop website.
Follow the step-by-step instructions to complete your application for your state withholding tax account.
Customers typically receive a Kentucky Withholding Account Number within 1-2 business days after registering online. This is frequently referred to as a Kentucky SIT Employer Identification Number (EIN).
The account number format is: ######### (9 digits). Note: Kentucky has transitioned from a 6-digit SIT EIN to a 9-digit SIT EIN in Q2 and Q3 2026. They are mailing new SIT EINs out to employers directly, so keep an eye out for a notice from the Kentucky Department of Revenue containing your new 9-digit account number.
Provide the following information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts:
Withholding account number
Payment frequency, also referred to as the withholding schedule
If you have not gone live in the Toast Payroll system, this information should be entered in the onboarding platform or sent to an Onboarding Consultant.
How to Register - State Unemployment
Note: In this state customers may not receive a state unemployment employer identification number (EIN) until wages are paid. It is the customer's responsibility to not only apply for an EIN whenever applicable, but also to provide this information to Toast Payroll & Team Management. The Toast Payroll system will calculate the unemployment tax liability and Toast Payroll & Team Management will attempt to remit the funds before the EIN is received. Without an EIN however, customers may face potential penalties, fees, fines, and interest from tax authorities. Follow the instructions below to register.
Register online with the Kentucky Office of Unemployment Insurance (OUI) via the Kentucky Unemployment Insurance Portal (KUIP).
Follow the step-by-step instructions to complete your application for your state unemployment tax account.
Customers typically receive a Kentucky Unemployment Insurance Account Number immediately upon completing registration online. This is frequently referred to as a Kentucky SUTA Employer Identification Number (EIN).
The account number format is ##-######-# (two digits, hyphen, six digits, hyphen, one digit).
Provide the following information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts:
SUTA EIN (Kentucky Unemployment Insurance Account Number)
Unemployment tax rates, listed as your Assigned Contribution Rate
If rates are not provided, the Toast Payroll system will apply state-designated new employer rates to a customer's account settings.

The Employer Identification Number (EIN) identifies a tax account to the state and enables Toast Payroll to file returns electronically on a company's behalf. If you've already registered for a Kentucky income withholding account, the EIN and payment frequency can typically be found by:
Accessing the Kentucky Business OneStop website or the Kentucky Department of Revenue portal

A Kentucky unemployment account number is typically in a ##-######-# format. Add your unemployment employer identification number SUTA EIN and any payment frequency or tax rate information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts.
Unemployment Tax Rate
An unemployment withholding tax rate is determined by the state and can change each year based on a number of factors. Visit the Kentucky Unemployment Insurance Portal (KUIP) for more information on the calculation of a Kentucky unemployment withholding tax rate.
Updated Kentucky unemployment withholding tax rate information should be entered into Toast Payroll by navigating to Settings > Payroll > Tax Accounts.
Link Toast as Your Payroll Tax Third-Party Administrator
Linking Toast as your third-party administrator will ensure we are able to complete the quarterly filings and amendments (if applicable) in a timely manner.
Kentucky Withholding Account
Log in or create an account via the Kentucky Online Gateway (KOG) website.
Follow this PDF of instructions provided by the Kentucky tax agency.

Select Grant the role of WRAPs Filer and Payer.
Kentucky Unemployment Account
Create or log into your Kentucky Unemployment Insurance Portal (KUIP) account.
Select the View Employer Account Profile section in the left navigation menu.
Select Authorize under the Associated TPAs section.
Check Approve for the request from STRATEGY EXECUTION PARTNERS LLC and then select Submit.
If you were able to complete this step, you can ignore the rest of the steps below.
If you do not see a request from STRATEGY EXECUTION PARTNERS LLC, follow the steps below to link Toast as your third-party administrator.
Select the Account Maintenance section in the left navigation menu.
Select Maintain Third Party Administrator (TPA) Authorization.
Select New.
Enter Toast’s TPA ID: 8493.
Select Next.
For the TPA Services Begin Date, enter the start date of the quarter you began with Toast.
Enter either January 1, April 1, July 1, or October 1.
End dates are not required.
Now select the boxes in the Action column next to each role for the TPA. Listed below are the roles required for Toast to file and pay your KY SUTA taxes:
Edit Account Maintenance
Update and Submit Payments
Update and Submit Employer’s Quarterly Wage and Tax Report
Select Save.
