Many tax jurisdictions no longer accept electronic filings and/or deposits with account information in an Applied For status. If not remedied, customers may be assessed penalties, interest fees, and/or additional repercussions by governing agencies. |
Tax Management Overview

We highly recommend visiting this page at least once a quarter so you can complete outstanding tasks and help enable a successful quarterly tax filing. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf, which may result in financial penalties for your company. After applying for and receiving your state tax account number(s), payment frequency, unemployment rate, or once you complete your third-party administrator (TPA) linking, log into Toast Payroll and select Taxes from the left-hand navigation. Where to Find Copies of Tax Filings Processed in Toast Payroll
To find copies of tax filings processed in Toast Payroll, the quarterly tax packages are found within the Toast Payroll system under Reports > Tax Filing. When you select Reports in Toast Payroll, you should see a URL that begins with payroll.toasttab.com. Visit Navigate Toast Payroll Within Toast Web to learn how the new Toast Payroll navigation works.
These reports are typically available the third full week of the month following quarter-end. Toast Payroll will only generate tax packages for quarters in which a customer was actively processing payroll within the Toast Payroll system.
Note: Toast Payroll may not be able to complete and/or submit tax filings where the Toast Payroll system reflects missing, erroneous, or incomplete information in a customer's account. It is the customer's responsibility to ensure that they have provided Toast Payroll with all requisite tax information in a timely manner. Copies of tax return submissions do not guarantee that a return was submitted to or accepted by an applicable agency.

How to Register - State Withholding Taxes
New Jersey's state income tax employer identification number is the same as your Federal Employer Identification Number (FEIN). No separate state withholding registration is required. Provide your FEIN to Toast Payroll as the New Jersey SIT Employer ID via Settings > Payroll > Tax Accounts. If you do not see Settings on the left side of the screen, select Payroll from the Toast Web navigation rail on the left to make the Toast Payroll navigation rail appear.
How to Register - State Unemployment Taxes
Register online with the New Jersey Department of the Treasury website.
Follow the step-by-step instructions to complete your application for your state unemployment tax account
Customers typically receive a New Jersey NJDOL Employer Account Number immediately upon completing registration online. This is frequently referred to as a New Jersey SUTA Employer Identification Number (EIN).
The account number format is: #########-### (your 9-digit FEIN followed by a 3-digit suffix; 12 digits total)
Provide the following information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts:
SUTA EIN (New Jersey NJDOL Employer Account Number)
Unemployment tax rates, listed as your employer Unemployment Insurance (UI) rate on your Notice of Employer Contribution Rates
If rates are not provided, the Toast Payroll system will apply state-designated New Jersey NJDOL new employer rates to a customer's account settings.
Note: If you do not see Settings on the left side of the screen, select Payroll from the Toast Web navigation rail on the left to make the Toast Payroll navigation rail appear.
If a customer has not gone live in the Toast Payroll system, this information should be entered in the onboarding platform or sent to an Onboarding Consultant.

A New Jersey unemployment account number is typically formatted as #########-### (your 9-digit FEIN followed by a 3-digit suffix; 12 digits total). Add your employer identification number and any tax rate information by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts. If you do not see Settings on the left side of the screen, select Payroll from the Toast Web navigation rail on the left to make the Toast Payroll navigation rail appear.
Unemployment Tax Rate
An unemployment tax rate is determined by the state and can change each year based on a number of factors. New Jersey assigns rates on a July 1 to June 30 fiscal year, and new employers are assigned a new employer rate for their first three calendar years before a calculated rate is assigned based on employment experience. Individual rate notices are no longer mailed and can be downloaded through Employer Access. Visit the New Jersey NJDOL Rate Information, Contributions, and Due Dates page for more information on the calculation of a New Jersey unemployment tax rate.
Updated New Jersey unemployment tax rate information can be entered into Toast Payroll by navigating to Settings > Payroll > Tax Accounts. If you do not see Settings on the left side of the screen, select Payroll from the Toast Web navigation rail on the left to make the Toast Payroll navigation rail appear.
