How can I adjust time entries for employee shifts when they run over or when they are stuck in Open from a previous shift?

You can review and adjust your staff’s shifts either through Toast Web for deep reporting or directly on the Toast POS for quick on-the-floor fixes.
Adjust Shifts in Toast Web
To manage time entries from your computer, navigate to Reports > Labor > Time Entry Management.
Filter your view: Use the date, location, and employee filters to find the specific shift.
Select the shift: Select the row of the shift you want to change. A content panel will open on the right showing full details, including if an employee was auto-clocked out or if a shift spanned multiple days.
Edit or Create: Select the pen icon to update the entry. If you cannot fix an existing entry, you can create a new one by selecting the employee and dates, then selecting Save changes.
Adjust Shifts on the POS
As a manager, you can handle adjustments directly from a Toast device:
Navigate to the POS main menu and select Time Cards.
Select the staff member’s name to open their specific time card.
Select the specific clock-in time line item you wish to adjust.
Update the details: In the pop-up, you can edit the clock-in/out times and dates.
Note: Shifts cannot exceed 24 hours. If an entry is too long, a red warning will appear, and you must correct it before saving.
Select Save.
Use the Time Entries Panel
The Time Entries panel allows for specific actions depending on whether a shift is currently Active or closed.
For Active Shift
Adjust Start Time: You can change the start time of today's shift. Note: You cannot change the start date while the shift is active.
Clock Out: Use this to trigger the Shift Review screen, moving the shift to the Closed category.
Remove Entry: You can remove the start time entirely, which deletes the shift from the platform and reports.
For Closed Shifts
Reopen a Shift: Adjusting the start time of a closed shift will automatically move it back to the Active category.
Adjust End Time: Update the clock-out time (ensure it does not overlap with other shifts or precede the clock-in time).
Declare Cash Tips: Select the Declare cash tips button to enter or update numerical tip values. Learn more here: Declare Cash Tips Overview.
Reset Changes: If you make a mistake while editing, use the Reset button to revert to the original shift data before saving.
