Membership Program Player Eligibility Criteria

Updated over 3 months ago

This feature is available for the following product:

Golf associations typically offer membership programs to their members. In many cases, eligibility requirements must be met before a player can register for that membership program. For instance, they may need to be male or female or in a certain age group. Sometimes, multiple criteria sets may need to be met in order to be eligible.

In this article, we will discuss the available eligibility options from Membership Programs.

Available Player Eligibility Options:

On the Membership Program setup page, you will see the option for "Player Eligibility" (as shown below).

Below is a list of the eligibility criteria that can be used. You can use one or more to set the requirements.

  • Gender: If the program is restricted to men-only or women-only, select whether men or women are eligible.

  • Golfers must have a GHIN/GLID/WHS number on file: This option can restrict non-GHIN/WHS/GLID members. If a player currently does not have a GHIN/WHS/GLID number in the system (assumed that they are not a GHIN/WHS/GLID member), they will not be able to register.

  • Golfer must be a member of selected associations or clubs:

This option allows you to extend eligibility beyond your association members to include members of other associations, their clubs, and directly authorized clubs (DAC) or members of specific clubs within other associations.

To extend eligibility, check the box for "Golfer must be a member of selected association or clubs" and choose one of the following options:

    • All Clubs: To extend eligibility to all members of another association, its clubs, and its DAC, select the association from the list, and select the “All Clubs” option. To extend eligibility to additional associations, click “Add Another Association” and repeat the prior steps.

    • Member Clubs: To extend eligibility to all members of another association (not including its directly authorized clubs), select the association from the list, and select the “Member Clubs” option.

    • Selected Clubs: To extend eligibility to members of specific clubs in another association, follow the same steps as above but choose the “Selected Clubs” option. After you select an association, you can select one or more clubs within that association.

  • Note: The list of available associations you can select will be limited to the associations that have given you permission to access their GHIN roster. For more information, refer to the Data Permissions section of the Master Roster Registration article.

  • Golfer must be a member of selected countries or clubs (UK & Ireland WHS Customers Only):

This option allows you to limit eligibility to select counties, their clubs, or members of specific clubs within a country.

    • To extend eligibility, check the box for "Golfer must be a member of selected countries or clubs." Use the dropdown to select the country, and then choose from the following options:

      • All Clubs: To extend eligibility to all members of another country and its clubs, select the “All Clubs” option. To extend eligibility to additional countries or clubs, click “Add Another Country” and repeat the prior steps.

      • Selected Clubs: To extend eligibility to members of specific clubs in another country, follow the same steps as above but choose the “Selected Clubs” option. After you select a country, you can select one or more clubs within that country.

  • Handicap Index Range: Select a minimum or maximum Handicap Index range as registration criteria.

If professionals or players without GHIN numbers register, you can waive these criteria for them if necessary.

Remember that a player's Handicap Index will be updated automatically when they log in to register, ensuring an up-to-date Handicap Index during registration.

  • Age: If the players need to be of a certain age or within a specific age range, you can set the parameters here.

Enter the date on which the age should be calculated, then select the minimum and maximum age. If there is no minimum or maximum age, leave the entry blank.

  • Other Custom Field: You can also set registration criteria by multiple custom fields used in your Master Roster. For instance, you may have a custom field identifying whether or not a player is a pro or amateur and their exemption status.

In the selection above, we only permit players listed as Pro and Exempt in the master roster to register.

For custom fields, you will also be able to qualify whether the field will be included/excluded:

    • Fields of type Country, State, Single/Multiple Line Answer, Multiple Choice, Yes/No:

      • Equal

      • Not Equal

    • Field of type Number, Date:

      • Equal

      • Not Equal

      • Greater / Greater or Equal

      • Less / Less or Equal

After selecting all the eligibility criteria in the membership program, save the form. Once the program is opened, only players who meet the eligibility criteria will be allowed to register.
