TRAK Pick Lists

The “Pick Lists” page provides a way to establish and maintain consistent terminology throughout the case record to improve the integrity of the data collected and to make it easier to review statistics about center activities.

To access the Pick List page, select “Pick Lists” from the “Administration” drop-down menu on the left side of t trak.

Where in the System are Pick Lists Used?

The table below identifies each pick list and where it is used in the system.

Outside referral sources are documented on the CPS, LE, FI, Medical, MH, VA, and Prosecution tabs. Entries made in these tabs display on the General Tab so the team working the case can be aware of referrals that have been made.

The charges pick list displays in the LE tab but you will set it up in the Prosecution category. See below.

Where is my Custom Field Pick List or Checkbox List?

Your custom field is designed in the Data Entry Fields page by your CAC to be used in a specific case tab. Locate that case tab in the category pick list. Select your data field from the pick list drop down list.

View Pick List Items

Select the Category you want to view from the dropdown list. Click on the “Select the Pick List” dropdown list and choose the pick list you want to view. A table will display which contains the Pick List Terms currently available in this pick list.

Add an Item to a Pick List

Once you select the pick list you want to modify, a table will display which contains the Pick List Terms currently available in this pick list. Click on the “Add new record” button.

A new editable row will be available at the top of the list. Enter the pick list term you want to add to the selected pick list and click on the “Update” button to save it. Alternatively, click on “Cancel” if you do not wish to add a new term. The new term will appear at the bottom of the list.

IMPORTANT: There are some fields in the different case tabs that you will have to classify under a specific NCA term. This is how it will be classified for the NCA statistical report.

Edit/Remove an Item in a Pick List

Select the Category you want from the dropdown list. Click the “Select the Pick List” dropdown list and choose the pick list you want to modify. A table will display which contains the Pick List Terms currently available in this pick list. Click “Edit” in the row containing the term you want to edit.

The selected item will become editable and you can change its name. To remove the item from the pick list, tick on the “Removed” checkbox in the same row as the term. Once checked the term will not appear on the pick list. Click “Save” to save your changes or click “Cancel” to cancel the change.

Change the Order of Items in a Pick list

Click the up and down arrows beside a pick list term/item under the “Sort Order” column to change its position in the list. The pick list terms/items will move up or down in the table as selected. The changed order is saved automatically. Alternatively, any pick list can be sorted alphabetically by clicking the “Resort Alphabetically” button.
