Adding a new carrier and setting up the accounts

If you need to create a new carrier in the system, here are the steps to follow

Step 1 - Create a carrier in the masterdata

There are 2 ways to create your carrier:

1) Carrier masterdata

Important note: Make sure you activate the Vendor checkbox, otherwise the carrier will not be available in the system for use.

Once the carrier record is created ( and the vendor checkbox is active ) the carrier can be used in settings and order creation

Step 2 - Adding Carrier AOR

In the Admin section, rights management, there is a section called Control Tower AOR or Area of Responsibility. Here we will create the AOR that will later be linked to our carrier accounts.

In the Material order section, you can select "Add row". Once the row is added, select "linked carrier" and search for the required carrier. In the transport order section, we add another row and select "Carrier". Here you can again select the same carrier.

The system will now only show Material orders and transport order linked to that carrier ( for users that have this AOR assigned to their account )

Step 3 - Creating a user group for the accounts

Now that we have the correct data filter in place, we need to make sure the users are all in the same group, to make sure they can do things like sharing a grid view or using the internal chat.

Go to the Admin tab, hover over User Management and select "Groups".

All groups and users in Control Tower are managed in a hierarchical organization structure based on groups.

Group hierarchy, how does it work?

The Parent Group: The Parent Group is the highest level within the Control Tower portal. The Parent Group must have at least one subgroup

An Organization: An organization is a group structure (including all the subgroups) that is nested directly under the Parent Group. Each new group (and all its subgroups) that is nested directly under the Parent Group is a NEW organization

A Group: A group within an existing organization

Create a carrier group for your carrier and nest in under your parent group or a general carrier parent group.

Example: Parent group Carrier with subgroups Carrier A, Carrier B, Carrier C

Step 4 - Expanding the group's contact list

Go to the Admin tab, hover over User Management and select "User Administration". In this window, you will see all existing user groups. Clicking on 1 of them will allow you to set permissions for this group. A group is always allowed to chat with users from its own group. Here you can give them access to chat/share with users from different groups

Step 5 - Creating carrier accounts

Go to the Admin tab, hover over User Management, and select "Accounts".

Here we can create an account per required user. Click "New" to start creating a new account from scratch, or select an existing account and then use "Copy".

The account gets our new user group ( activate TMS access so the user receives the confirmation email and can log in after we save the account ):

We also make sure to assign our newly created AOR along with the other user rights:

Now that we are done we can save the user account. The user will receive an email confirmation email and will then be able to set his/her own password and log in.

Once they are logged in they can only see orders linked to their carrier.
