4. Define Booking Rules in Time Slot Booking

No one likes rules, but Flo believes that sometimes they’re a necessary evil to give you full control and flexibility over your booking. And honestly, setting up rules makes things a lot easier for everyone. But to make it sound a bit less strict, she invites you to think of them more like parameters.

Time Slot Booking allows you to choose how and who can book the slot when a new transport order comes in.

These are the 3 options:

  1. Automated booking flow

    • The first available slot within the slot range will be booked automatically.

    • The slot will appear as booked in both the Control Tower and Time Slot Booking.

  2. Internal booking flow

    • A slot is booked manually by an internal user. The carrier will only see the slot when it's booked.

    • How do you book a slot? We'll explain that later.

  3. Carrier booking flow

    • A slot is manually booked by a carrier user

    • Internal users can always book a slot if the carrier fails to do so in time.

How to add a booking rule?

In the settings of your Time Slot Booking application, you can add as many rules as you want. If you haven't added any rule, or if you have contradictory booking rules, Flo will default to using the automated booking rule.

  • Go to your Time Slot Booking application

  • Go to your settings via the cog icon at the bottom in your navigation bar

  • Click on 'Booking Rules'

    • Note: This will only appear if your TMS and Time Slot Booking are integrated

  • Click on the '+ new Booking Rule' button at the right top of the page

  • In the pop-up that appears, select the locations and carriers of your choice and select a booking rule.

  • Click on ‘Save’

  • Way to go! All transport orders that you receive from now on with the selected locations and carriers, will follow this booking rule

Important to know

  • By default (when no booking rule is found), the automated booking rule is used.

  • The more specific the booking rule, the higher it is in the row

    • Example:

      • First booking rule: all locations and all carriers

      • Second booking rule r: location A - all carriers

      • Third booking rule: location A - carrier 1

      • Flo will select the third booking rule for transport orders with location 1 and carrier 1. Flo will select the second booking rule for transport orders with location 1 and carrier 2

      • And so on ...

  • When contradictory booking rules are detected, Flo will use:

    • Automated booking flow (if this is one of the contradictory options)

    • Internal booking flow (if automated booking flow is not one of the options)

  • If you don't select a location or carrier, this rule will apply to all of them. If a new carrier is added along the way, it will also apply to this carrier.

  • When a booking rule is added or changed after the transport order is sent to Slot Booking, the new booking rule won't be applied anymore. The new booking rule will only be considered for new incoming transport orders.
