Invite users (your colleagues, not carriers)

Don't do all the work on your own. Invite colleagues to help your and assign the correct role to make sure they have correct permissions.

Who likes to do all the work on their own? Besides Flo, nobody, right? But even Flo gets a little tired of doing all the work herself. That’s why she’s made it possible for you to

invite your colleagues to divide the work amongst yourselves. Based on the role that is assigned, everybody who is invited to the TMS and Time Slot Booking, can:

  • Manage the available slots

  • Book, edit and reschedule slots

  • Update milestones

  • ...

📬 Invite new team members

If you follow this flow, the user will only have access to the Time Slot Booking application and not to the TMS.

  1. Go to your settings (via the cog icon at the bottom in your navigation bar)

  2. Click on 'Users'

  3. Click on the '+ New User' button at the right top of the page

  4. In the popup that appears, select the role you want to assign to the user

  5. Some of these roles need to be linked to a specific location/facility.

  6. You have two options to add users:

    1. Via a link
      A user who was invited via link is redirected to a page where they can either use their existing credentials (if they already have an account in one of the TOPS applications) or they can follow the registration flow.

    2. By email
      If the user is invited via email, they will receive the following email, which invites them to finish registering.
      Note: The link in the email expires after 7 days, so don't wait too long the register.

⏰ Pending invitations

When users are invited and have not accepted the invitation yet, you can see them in the pending invites tab.

Note: If you have just invited the user, you have to refresh the page before it will appear in the list.

In the table, you can:

  • Resend the invitation email, if the email was lost or the invitation link has expired.

  • Delete the invitation. The user will be able to register anymore.

✏️ Edit & remove users

Admins can edit and remove users at all times.

  1. Go to your settings (via the cog icon at the bottom in your navigation bar)

  2. Click on 'Users'

  3. Search for the user you want to edit or remove.

    1. Edit: click on the user, a flyover opens in which you can edit the role.

    2. Remove: click on the trash icon that appears when you hover over the user.
