Hour Types are applied to the scheduling to provide an overview of employees' status, as well as additional information regarding time expenses for financials.

There are three default hour types on Rota King: Shift, Holiday, and Sick. You can create new hour types as needed.

How do I create new hour types

  1. Go to Hour Types in the configuration(the cog icon in the top right-hand corner).

  2. Click on Create Hour Type button to add an hour type.

  3. Name the hour type.

  4. Enter the external reference if applicable.

  5. Select the appropriate category. There are five categories and they are: Worked, Annual Leave, Other Leave, Absence, Overtime, and TOIL.

  6. You can apply a suitable icon and define the background colour and text colour.

  7. Tick the options as required.

    • Is Active: Indicates whether this hour type can be selected.

    • Accrues Holiday: Indicates whether holiday time will be accrued.

    • Apply Statutory Sick Pay: Specifies whether statutory sick pay is applied and separated from the regular pay. This is only applicable to Absence with Include in Financials selected.

    • Include in Tronc: Indicates whether this hour type should be counted when calculating Tronc allocations.

  8. Define the options.

    • Included in Financials: Specify whether this hour type should be included in the financials at the selected contract type level.

    • Apply Financial Accrual Cost: Specify whether the financial accrual cost for this hour type should be applied at the selected contract type level.

    • Included in Payroll Export: Specify whether this hour type should be included in the payroll export for the selected contract type level.

  9. This hour type can be applied globally or to specific rota types only.

  10. Click Create, and you will see the new hour type in the list.
