How to create a Smart Board Record (Maintenance)

You can update the next due date of a monitored item, such as a PPM, by adding a record to the maintenance board

What is a smart board record

Smart boards (Housekeeping, Maintenance, and Sensors) are used to visualise and manage tasks. A smart board record is created to update the relevant data.

How do I build a maintenance board record

Let's say you have created a maintenance board called Preventive Maintenance to manage the maintenance inspection, and you need a record to update the inspection date and related documentation. In this case, we will create a maintenance board record to track the next inspection date of assets.

  1. Go to Form Library and create an asset form. Ensure the monitored asset group is selected.

  2. Go to Questions and click on Add Section.

  3. Select Asset Group Properties section type.

  4. Click Link Property and select required monitored section and properties. Here we will select Inspection Date and Documentation which we have already set up in the monitored asset group.

  5. Go to the 3-dot menu and click on Record to turn the form into a record.

  6. Complete mandatory fields, including Name, Owner, and Department.

  7. Ensure that the record will be completed at the same level as the form.

  8. Add Assign Responsibilities and click Create.

    • Monitor: Who will be adding the record.

    • Manager: Who will be managing the record.

    • Observer: Who will be overseeing the record.

  9. Click Create and you will have a housekeeping board record.

  10. Go back to the required maintenance board and link the record to the board within Workflow section.

  11. Now you can add the maintenance record in the monitor portal.

  • If you have more than one maintenance board, make sure to select the board you want to add a record to first.
