Contact Matching Symbol Guide in Truss

When importing or reviewing contact data in Truss, you may see status symbols next to contacts or rows. These symbols indicate how Truss is interpreting the data and whether action is needed before proceeding.

Symbol Key & Meanings

Below is a detailed breakdown of each symbol you may see during bulk project creation and what action (if any) is required.

βœ… Matches Existing Contact

  • Truss has successfully matched this record to an existing contact

  • No action is required

  • Projects will be created under the correct existing contact

Best practice:

  • Quickly spot-check names or emails if you are bulk creating for a large group


βž• Will Create New Contact (Possible Duplicate)

  • Truss does not find an exact match and will create a new contact

  • This may result in a duplicate if the client already exists with slightly different information (name, email, formatting, etc.)

Recommended action:

  • Review these entries carefully before proceeding

  • If the client already exists, update or correct the information to ensure a match


⚠️ Missing Email

  • The contact does not currently have an email address

  • Projects can still be created, but client communication and portal access may be limited

Important notes:

  • Clients without emails cannot receive automated notifications

  • Portal access requires a valid email address

Recommended action:

  • Add an email address if client communication or portal access is required


🚫 Contains Invalid Information

  • One or more required fields contain invalid or improperly formatted data

  • Examples include:

    • Invalid email format

    • Missing required fields

    • Unsupported characters

Required action:

  • Correct the invalid information before continuing

  • Projects may fail to create if this is not resolved


❓ No Contact of This Type Extracted

  • Truss was unable to identify the expected contact type

  • This commonly occurs when:

    • Required fields are missing

    • The data structure does not match expectations

Recommended action:

  • Review the source data

  • Confirm that required contact fields are populated correctly


⏳ Project Still Processing, No Contact Yet

  • The project creation process has started, but the contact has not been fully created yet

  • This status is temporary

What to expect:

  • The contact and project will appear once processing is complete

  • Refresh or check back shortly

  • Always review symbol indicators before proceeding

  • Resolve warnings and errors to avoid duplicate contacts or missing client access

  • Pay special attention to entries marked as possible duplicates or invalid

  • Keeping contact data clean improves reporting, communication, and automation reliability
